Purpose
To provide comprehensive administrative, strategic, travel & event management, and calendar management support to the Executive Director, executive team, and board.
Responsibilities
- Core administrative support
- Draft reports, presentations, memos, and letters
- Prepare agendas, take minutes, and distribute meeting materials
- Process and submit invoices to the finance department
- Collate, reconcile, and submit expenses/reimbursements
- Maintain and organize physical and electronic filing systems
- Provide telephonic support and receive visitors on behalf of the Executive Director
- Keep and replenish relevant stationery supplies
- Strategic support
- Act as a key point of contact for the Executive Director
- Assist with special projects and research
- Organize executive events and board meetings
- Provide insights and recommendations to support executive decision-making
- Build relationships with internal and external stakeholders
- Maintain credibility, trust, and support of the executive team and staff
- Serve as a 'gatekeeper' ensuring smooth communication within the team
- Handle sensitive and confidential information with discretion
- Calendar management
- Plan and schedule meetings
- Prioritize inquiries and requests for meetings
- Travel and event management support
- Plan and schedule conferences and events
- Prepare travel requisitions for flights and accommodations
- Liaise with Travel Administrator regarding travel logistics
- Organize and coordinate executive events
- Coordinate and assist with Visa application processes
Qualifications and Experience
- Relevant tertiary qualification (as articulated in the Employment Equity Act)
- Experience supporting C-level executives or as an executive assistant
Skills and Competencies
- Problem-solving, analytical skills, and critical thinking
- Information monitoring and Microsoft Office Suite proficiency
- Planning, organizing, and filing systems management
- Visa applications and expense management
- Ability to work under pressure and willingness to work after hours
