Job description

Our client in Blackheath is seeking an experienced Executive Assistant to support their Managing Director. The ideal candidate has prior experience assisting senior executives, with exposure to marketing and HR. Essential skills include strong organization, data gathering, and multitasking abilities. Proficiency in Microsoft Office, especially Excel and Word, is required, along with excellent communication skills.

REQUIREMENTS :

  1. Grade 12
  2. Experience in marketing and human resources functions will be advantageous
  3. Basic understanding of the marketing digital environment will be advantageous
  4. Previous experience as a personal assistant to a senior executive
  5. Exceptional organizational skills of self and others and ability to work without supervision
  6. Provide administrative support to Managing Director for marketing, admin and human resource tasks.
  7. Ability to gather data, compile information, and prepare reports.
  8. Ability to perform complex tasks and to prioritize multiple projects
  9. A working knowledge of the marketing terminology and understanding thereof
  10. Advanced skills with the full suite of Microsoft Office products (especially Excel & Word)
  11. Effective written and verbal communication skills.
  12. Tertiary qualification in a relevant field is required: marketing, business or human resources
  13. At least 5 years’ experience working with senior executives

DUTIES :

Administration :

  • Handle sensitive and confidential information with discretion and professionalism
  • Assist and coordinate the compilation and preparation of management reporting, attending and typing up meeting minutes and any follow-up actions
  • Maintain administrative systems, databases and processes
  • Collaborate effectively with all staff, clients, and suppliers.
  • Managing the administration of the advertising budget

Marketing :

  • Communicate and coordinate campaign deliverables, objectives and timelines to the management team.
  • Coordinate with all relevant managers on their marketing and sales campaigns
  • Support in creating marketing materials and coordinating marketing campaigns with all stakeholders (internal and external)
  • Liaise and coordinate with marketing, communication, digital and design agencies on various projects and the creation of marketing and sales content
  • Assist with planning and managing trade shows, conferences, events and meetings
  • Maintain an inventory and directory of sales support materials making sure all resources are accurate and current while coordinating new material creation as needed
  • Communications coordination: proofread, edit, layout of local advertising, brochures, newsletters, articles

Human Resources :

  • Help and assist with implementation of organizational transformation projects.
  • Manage and monitor organizational transformation processes and projects.
  • Assist with coordination of employee training, improving employee engagement, and coordinating performance processes

HOURS :

  • Monday to Thursday: 7:30 - 16:30
  • Friday: 07:30 – 14:30
