Job Summary :

Sagen Advisory Recruitment Company seeks an organized and detail-oriented Administrative Assistant / Personal Assistant to support our accounting firm client based in Bellville, Cape Town.

You'll handle various administrative tasks and assist with accounting- and law-related duties.

Although a background in accounting, or law is not required, it is an advantage, and training will be provided for the position. This role requires a highly organized, detail-oriented individual with excellent communication and interpersonal skills.

Key Responsibilities :

Administrative Support :

  • Manage calendars, schedule appointments, and coordinate meetings.
  • Prepare and organize travel arrangements, including flights, accommodations, and itineraries.
  • Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
  • Maintain and update electronic filing systems.
  • Provide general office support, such as photocopying, scanning, and faxing.
  • Assist with data entry and maintenance of financial records.
  • Prepare and reconcile bank statements.
  • Process invoices and payments.
  • Assist with budget preparation and tracking.
  • Provide support for audits and financial reviews.

Legal Support (if applicable) :

  • Assist with legal document preparation and filing.
  • Conduct legal research and analysis.
  • Manage legal databases and case files.
  • Coordinate with external legal counsel.

Project Management :

  • Assist with project planning, coordination, and tracking.
  • Prepare project reports and presentations.

Qualifications :

  • High school diploma or equivalent required.
  • Administration diploma or Bachelor's degree is preferred but not required.
  • Minimum 5 years of experience as an administrative assistant or personal assistant.
  • Proven experience in bookkeeping, accounting, or law is not required but will be an advantage.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy.
  • Strong ethical and professional standards.

Preferred Qualifications :

  • Administration or personal assistance experience – minimum 5 years.
  • Highly detailed, skilled in time management, and can work under pressure.
  • Experience working in an accounting or law environment.
  • Knowledge of Greatsoft and e-filing.
