Job description

We are seeking a talented Executive Assistant (EA) with proven experience working with multiple stakeholders and the ability to provide support to senior executives through complex calendar management, project management, meeting preparation, travel planning, and document management. The ideal candidate will help build a positive team environment and establish working relationships inside and outside of the group.

Role Overview

The Executive Assistant will also build a strong internal network by acting with a professional and approachable demeanor to be an indirect leader for the General Manager Assistants (GMAs) team. This includes onboarding new GMAs, supporting their career development, sharing best practices, and connecting teams to create synergies.

Key Responsibilities
  1. Provide comprehensive calendar management and strategic scheduling support for multiple senior leaders.
  2. Coordinate domestic and international travel arrangements, including detailed itineraries and logistics.
  3. Plan and execute team events, such as all-hands meetings, off-sites, and team-building activities.
  4. Track and facilitate the completion of key deliverables and action items.
  5. Process expense reports and manage administrative documentation.
  6. Partner with internal teams for space planning, facilities, and cross-functional coordination.
  7. Organize and maintain team communication channels, including newsletters and updates.
A Day in the Life

Your day begins with reviewing calendar changes and prioritizing urgent requests. Throughout the day, you will coordinate with global stakeholders to schedule meetings across time zones, arrange travel logistics, and ensure smooth operations for the leadership team. You may also work on planning quarterly off-sites or coordinating team recognition events.

Qualifications
  • Experience with complex calendar management and expense reporting for C-level executives.
  • Experience coordinating domestic and international travel for senior roles.
  • Experience managing vendors and contractors.
  • Budget management for corporate events and meetings.
  • Excellent written communication skills for drafting and sending messages on behalf of leaders.
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Ability to work effectively with international teams across multiple time zones.
  • Experience in a high-growth, global environment.
  • Ability to prioritize and handle multiple assignments simultaneously.
