Job description

Vacancy: Branch Administrator - Rustenburg

A position has become vacant at our Secunda Branch and will be reporting to the Branch Manager. The overall purpose of this position is to oversee all the Administrative, HR, and Financial responsibilities of the branch.

Minimum Requirements

Qualifications, experience, and other competencies required:

  1. Grade 12 or Matric Certificate.
  2. A Tertiary qualification will be an advantage.
  3. Minimum of 5-8 years in a similar environment.
  4. Payroll knowledge and experience – essential.
  5. Financial knowledge – essential.
  6. Computer literacy and proficiency in Microsoft Office (PowerPoint, Excel, Word, Outlook).
  7. No criminal record.
  8. Own reliable transport.
  9. Should reside within Secunda or surrounding areas.
Key Areas Of Responsibility Will Include
  1. Ensure that all Payroll and Salary related concerns are handled accurately and efficiently.
  2. Daily booking of Guards on Posting Sheets.
  3. Billing / Finance (Critical) - Reporting back on the MOS report to the Branch and Senior Management.
  4. Personnel Management / HR – Onboarding/Terminations etc.
  5. Fleet Management.
  6. Manage budget allocation for Transport Department / Invoices / PO Request.
  7. Assist and support the Branch Manager with all functions as well as financial actions.
  8. Manage all Branch Assets.
  9. Full responsibility of the Petty Cash System and submissions.
  10. Ensure weekly, monthly, and quarterly reports are submitted on time for all sites required.
  11. Be a key point of contact for all departments on Branch matters.
  12. Adhere to normal office administration duties, such as answering telephone calls, emails, filing, etc.
  13. Implement and adhere to all Company Policies and Procedures.
  14. Manage schedules and deadlines of all administrative functions.
  15. Ensure the smooth and adequate flow of information within the branch to facilitate effective business operations.
  16. Coordinate and ensure Branch Compliance.
  17. Audit Compliance when required.
  18. Oversee facilities services, maintenance activities, and tradespersons.
  19. Prepare monthly reports and assist with presenting performance and other reports to Managers and Executives.
  20. Support Managers, Senior Managers, and Executives with projects and tasks as required.
  21. Engagement with Security Officers at all times.
  22. Pension and Provident Fund submissions.
  23. UIF assistance (Draft of documents).
  24. Full Branch support functions.
  25. Key liaison between the Branch and the Group.
