Job description

Key Tasks :

  1. Managing the FDs Schedule and Communications
  2. Maintain and organise the FDs calendar, scheduling appointments and meetings.
  3. Ensure the FD is well-prepared for meetings by compiling agendas, financial reports, and key documents.
  4. Act as a gatekeeper, screening calls, emails, and requests to prioritise urgent matters.
  5. Liaise with internal departments and external stakeholders, ensuring clear and efficient communication.

2. Prioritising Emails, Phone Calls, and Meeting Coordination

  1. Monitor and respond to emails on behalf of the FD when necessary, ensuring timely follow-ups.
  2. Handle confidential and time-sensitive correspondence professionally.
  3. Arrange and coordinate high-level meetings, including board meetings and financial briefings.
  4. Take minutes during key financial meetings and track action items.

3. Providing Administrative and Accounting Support

  1. Assist with the preparation of financial reports, budgets, and compliance documents.
  2. Handle invoice processing, expense tracking, and reconciliation of financial statements.
  3. Maintain and organise confidential financial records and documentation.
  4. Support in preparing presentations, reports, and data analysis for strategic decision-making.

4. Supporting Financial Compliance and Reporting

  1. Ensure all financial documents, contracts, and reports adhere to regulatory requirements.
  2. Assist in coordinating internal and external audits by gathering necessary financial documentation.
  3. Collaborate with the finance team to track key financial deadlines and compliance submissions.

5. Liaising with Internal and External Stakeholders

  1. Serve as the primary point of contact between the FD and executives, board members, and regulatory authorities.
  2. Coordinate with vendors, legal teams, and external partners for financial agreements and compliance matters.
  3. Represent the FD professionally in meetings and discussions when required.

Essential Qualifications / Experience :

  • Matric
  • Bookkeeping Qualification
  • Bcomm in Finance / Accounting
  • 2 Years working experience in a relevant role
