Summary:
Main objectives for this position are to manage compliance against the Massmart-Walmart Food Safety Management System policies, procedures and standards to ensure that all stores, DC’s, and 3rd parties adhere, implement and maintain Massmart-Walmart food safety and quality requirements from an operational food safety perspective.
Functions / Responsibilities:
Main components of position
- Team Management/Talent Development/Performance Management for the Operational Food Safety Experts reporting into the position
- Banner Liaison for team in this portfolio (Operational Food Safety Team)
- Maturity Assessment– enhancing current programs in each of the areas. Specific responsibilities within Maturity Assessment.
- Risk Assessment – reducing risk with implementation of Action Plans across Divisions. Specific responsibilities within RA.
- Reporting in each area to flow up into main reports (consolidation for entire team’s reports).
- Distribution of workload between team members in this portfolio
Food Safety Management System
- Responsible for the management of the Food Safety Management system that is currently in place in all retail stores and DC’s. Ensure that the correct version of the system is rolled-out and adhered to.
Roll-out of food safety management system
- Ensure that for all new stores the Food Safety Management system is rolled-out by arranging this with the banners and with Diversey.
- Conduct a follow up after the roll-out to ensure that the 5-day roll-out took place and was effective
- Conduct an on-site inspection for all new stores prior to opening
FSA’s (Food Safety Audit)
- All stores need to go through a food safety audit on a quarterly basis. Manager needs to ensure that this is on a quarterly schedule provided by Diversey.
- Follow up with Diversey to ensure all stores are audited within a quarter.
- Dispute management as a result of a FSA finding
- Tracking and reporting on results
- Follow up with Divisions on any non-conformances
Sub-contractors
- Communicate all Massmart requirements to sub-contractors.
- These include:
- Pest Control, Chemical suppliers, Cleaning Companies, Equipment suppliers etc.
- Follow up on any non-compliances with these sub-contractors.
- Ensure frequent meetings are set up, at least monthly, with each of these subcontractors.
Training
- Provide a schedule to SME on a quarterly basis for all failed stores to do on-site training at each of these sites.
- For all stores that do not pass the FSA – arrange a training session to do onsite training.
Environmental Micro screening
- Review monthly testing schedule on a quarterly basis to ensure accuracy of the schedule
- Liaison with Laboratory on monthly basis on all sampling and testing conducted
- Address any non-conformances with stores in combination with team to ensure resolution of any non-conformance
- Address all pathogen alerts with stores if these are detected as part of the operational environmental testing program
Store visits
- Conduct stores visits with team or CI in the event of any non-compliance identified
- Equipment design inputs
- Sign off for all new store’s equipment and facility design requirements
Equipment design inputs
- Sign off for all new store’s equipment and facility design requirements as per the Global and Massmart Standard requirements.
Recalls and regulatory visit system
- Ensure recalls are logged on the Massmart recall portal as required per the recall procedure
- Address any store or DC non-compliance as a results of a regulatory inspection
- Follow up with stores on outstanding recalls not captured on system
General
- Any other Food Safety duties as related to the Supplier Food Safety Program as defined by the SME daily.
- Projects – management of Food Safety Projects as defined from time-to-time by the SME/Banners
KPI Deliverables
- FSA: Influence the KPI to achieve 95% of stores on a pass rating by end of Q4.
- Ensure all non-conformances are closed out and addressed on the respective Operational portals e.g. CMX, REACH, Array, MIMS etc.
- Status of actions will be tracked monthly and reported to relevant stakeholders and as part of 1:1 feedback to SME.
Enhance Overall Maturity of Food Safety Program in Market
- Ensure all action plans (Risk Assessment, Maturity Assessment, /internal Audit, CI or other) involving Food Safety are “on track” for delivery and properly documented.
Enhance Business Relationship
- Develop analytics reports to be shared with key business stakeholders during monthly meetings and in quarterly Division Risk Committee packs
- Conduct frequent meetings with key business stakeholders to get feedback, alignment, and drive improvement of program, specifically as relates to Food Safety Projects-SPARK, Pest Control, GFSMS, Diversey Audits etc.
- Provide continuous feedback and updates to key business stakeholders, as required.
- Participate in Food Forum and other Forums to stay apprised of business plans and to actively engage with business partners on key trends and initiatives, as determined by SME.
Risk Assessment
- Successfully participate in the market Risk Assessment
- Successful execution of Risk Assessment mitigation and remediation for retail operational touch points or as defined by the SME by defined deadlines.
- Communicate Risk Assessment Action Plans with relevant Stakeholders.
Training
- Enhance and update current Food Safety Training Modules
- Ensure associates are notified of the set training dates.
- Leasing with learning and development team on training.
- Management of attendance registers.
- Ensure tracking of trained and un-trained associates are in place.
- Identify associates that need to attend training.
- Scheduling of additional training as required with service provider(s).
Communication
- Monthly Food Safety Newsletters
- Effective Communication to Business Stakeholders, relating to Food Safety or any other related matters
Food Safety Management System
- Revision of Store FSMS
- Revision of Distribution Centre Food Safety Management System
- Assist with Roll-out Plans and implementation of updated management system requirements
General
- Assistance in the implementation and management of all Massmart-Walmart FSMS requirements.
- Assisting in the implementation of the Food Safety Maturity Assessment requirements.
- Assisting the Food Safety SME with all day-to-day Food Safety Compliance area requirements.
- Any other food safety or quality related requirements as needed by the business
Requirements:
Minimum Academic, Professional Qualifications and Experience required for this position
- Relevant B degree in Food Science and Technology with at least 6 - 8 years related experience, plus Business and commercial experience in retail.
- Additional qualifications in food safety e.g. lead auditor, FSSC 22000 FSMS implementation, Risk Management etc. will be advantageous
