Position Info:

Purpose of the Role:

Provide administrative support to the Sales Team to increase the efficiency and productivity of the department.

Manage the front desk daily, welcome guests positively, and execute a variety of administrative tasks to the highest standards.

Requirements:

  • Update and maintain leads on Syspro.
  • Generate Woolworths Datasheets.
  • Generate Price Lists.
  • Update and maintain Sales Turnover Trend, send to relevant Account Managers.
  • Update and maintain New Business Trend, send to relevant Account Managers.
  • Organise the sample room.
  • Save and organise documents on the server.
  • Generate and manage customer surveys.
  • Assist with planning exhibitions or functions.
  • Assist with changes to the website.
  • Assist with product photos.
  • Maintain the Critical Path Register and distribute list to CSRs weekly.
  • Maintain the Trial Register and distribute to Account Managers monthly.
  • Maintain the Customer Product Specification Spreadsheet, chase CSRs to ensure signed copy is received and saved on the server.
  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office, ensure visitors complete relevant paperwork.
  • Maintain Visitor File.
  • Offer guests refreshments and make refreshments.
  • Assist with actioning Checklist for Customer Visits.
  • Answer, screen, and forward incoming phone calls.
  • Receive and pass on accurate messages when the appropriate person is not available.
  • Receive, sort, and distribute incoming parcels.
  • Update and maintain the Dispatch Spreadsheet, receive requests from Packaging World staff, forward details to courier, get courier quotes approved by Management, and complete waybills.
  • Arrange travel and accommodation.
  • Perform photocopying, scanning, laminating, binding, shredding, filing, and other general administrative tasks.
  • Update and distribute the latest company telephone list.
  • Prepare Weekly Sales Reports.
  • Ensure compliance with BRC requirements.
