Job description

Job Title: Admin Clerk - eCommerce / Digital Department

Are you a young, energetic, ambitious, excitable, driven, and well-organised individual looking to establish a career in retail ecommerce? SMD Technologies is seeking an experienced, tech-savvy admin clerk to join its eCommerce / Digital department.

Main Purpose: To free up the key account managers' time by handling administrative tasks, allowing them to focus on sales strategies, developing buyer and product manager relationships, online product enrichments, and online promotions.

Reporting Line: This position reports directly to the eCommerce Executive Key Accounts Manager & the Creative Director.

E-commerce Duties and Responsibilities
  1. Assist ecommerce staff with daily order processing, ensuring a maximum 2-day turnaround for picking, packing, and delivery.
  2. Print orders, packing lists, loading lists, and delivery waybills.
  3. Send approved sales and purchase orders to the warehouse and follow up to ensure deliveries are completed.
  4. Assist eCommerce Key Account Managers with resolving customer complaints promptly and courteously.
  5. Maintain and update pricing for promotions and specials.
  6. Maintain sales records and files according to company policy.
  7. Assist with improving online listings and identifying new opportunities.
  8. Follow up on returns regarding credits, replacements, and repairs.
  9. Notify customers about their order status where applicable.
  10. Manage stock levels, ensure accurate forecasts, and advise on end-of-life stock for relevant promotions.
  11. Ensure correct waybills and paperwork are sent to stakeholders timely.
  12. Update stock files per account and send to buyers as requested.
  13. Maintain relationships with buyers and their assistants to ensure consistent communication.
Skills and Competencies
  • Exceptional written and verbal communication skills.
  • Proficiency in Excel (Pivot Tables, Charts, V-Look Up, data analysis).
  • Tech-savvy with the ability to quickly learn new CRM and stock management systems.
  • Highly sociable with excellent communication and conflict resolution skills.
  • Problem-solving skills with determination, grit, resourcefulness, and ownership.
  • Well-organised, disciplined, efficient, and data-driven.
