Summary:
The Divisional Facilities Maintenance Manager is responsible for managing cost-effective Planned and Reactive Facilities Maintenance programmes within specific Massmart banners and associated infrastructure to ensure safe, profitable and continuous business trading including overseeing repairs, including racking and stacking, roof repairs, refrigeration plants and lighting. The role is also tasked with ensuring that facilities are maintained in alignment with Health & Safety, Food Safety and, where applicable, landlord lease requirements.
FUNCTIONS / RESPONSIBILITIES:
Planned & Reactive Facilities Maintenance Management
- Oversee the day-to-day resolution of all banners planned and reactive maintenance activities, from the point of call logging to completion of maintenance interventions.
- Oversee all banner repair and maintenance equipment replacements including equipment replacements for transformers, generators, HVAC and refrigeration plants etc.
- Assess and review banner equipment failure rates and specifications and proactively propose relevant preventative maintenance interventions to minimize breakdowns and cost of repairs
- Monitor equipment failures/breakdowns and proactively suggest revised specifications to ensure optimal trading efficiency.
- Provide input into Banner maintenance priorities.
- Track banner facilities maintenance costs and trading efficiencies and propose interventions on a continuous basis to reduce costs and improve trading efficiencies.
- Assist with identifying root cause facilities maintenance issues and pro-actively recommend pragmatic mitigation measures.
- Cultivate a close relationship with operations teams and demonstrate a deep understanding of banner maintenance requirements.
- Ensure that critical facilities maintenance issues, posing risk to store trade or compliance, are brought to the attention of the Group Facilities Manager for prioritisation and actioning.
- Take a hands-on approach to the resolution of priority or chronic facilitates maintenance issues where required.
- Provide detailed, clear and insightful analysis of facilities maintenance issues to facilitate efficient and effective resolution.
Financial Management
- Provide input into the formulation of the annual Facilities Repairs and Maintenance Capex and Opex budgets
- Track banner facilities management costs against budget to ensure alignment and phasing of costs per plan
- Approve budget expenditure in line with level of authority of R 25k for orders (2023 base) and expeditiously facilitate efficient approvals where these exceed personal level of authority.
- Review vendor quotes and invoicing, enabling good governance of contractor and equipment invoicing and job completion.
Contractor Management & Administration
- Engage closely with contractors to verify that maintenance work is being carried out correctly and diligently, including visiting stores, conducting virtual inspections and obtaining feedback from internal customers as appropriate
- Oversee contractor performance (including collating end user feedback) as basis for providing input into the renewing, discontinuing and replacing of facilities maintenance contractors
- Engage with contractor base on an ongoing basis to reinforce Massmart service level requirements, ensure that contractors are correctly briefed and providing good service to store
- Proactively escalate indifferent contractor performance and bring instances of poor performance to the attention of the Group Facilities Manager
- Provide input towards maintaining a geographically representative and reliable network of professional contractors capable of cost effective, rapid and efficient delivery of Repairs and Maintenance solutions.
- Assist with profiling and mapping Banner Repairs & Maintenance needs giving consideration to required contractor expertise, performance credentials, price competitiveness and geographic location.
Repairs & Maintenance Solutions Delivery
- Oversee asset tagging for new and replacement equipment.
- Assist with the preparation of information required for quarterly analysis of Repairs and Maintenance trends.
- Review high value and high priority work orders to ensure scope of work is appropriate and requisite repairs have been made in full.
- Ensure required Pragma system approvals are kept up to date and system functionality issues are brough to the attention of the facilities systems team.
Performance Monitoring & Reporting
- Present key metrics, analyze trends, and make data-driven recommendations for strategy adjustments to the Facilities strategy.
- Produce regular reports based on agreed timelines to ensure that business stakeholders are informed as to the progress and value add achieved.
- Gather feedback from cross functional teams to continuously improve Facilities Maintenance.
Internal Customer Service & Relationship Management
- Manage performance against internal customer Service Level Agreements with specific focus to responsiveness to closure of Repairs and Maintenance call logs.
- Submit materials and input for monthly Repairs & Maintenance feedback meetings.
- Conduct regular store visits to assess service level quality and to identify service level improvement opportunities.
- Proactively elicit feedback from internal customers regarding quality of facilities maintenance service and identify areas for improvement.
- Demonstrate a diligent commitment to resolving facilities maintenance issues and exceptional responsiveness to operations requests for assistance.
People Management
- Enable a culture of accountability, agility, high performance, collaboration of customer focus and results orientation within and across teams and business.
- Ensure the sourcing, development, cohesion, motivation and retention of a high-performance team.
- Implement HR processes and procedures to regulate workplace conflict and/or institute corrective measures and consultation processes to address deviations from standards and ensure that performance goals are met.
- Ensure that Facilities Maintenance goals are correctly cascaded collectively and individually.
Requirements:
Minimum Academic, Professional Qualifications and Experience required for this position
- Bachelor’s Degree / Bachelor of Technology/ Advanced Diploma in a Facilities Management/ Property Management/ Engineering/ Technical related qualification.
- Minimum 6 years Store Operations / Facilities Management.
- Strong financial management skills.
- Excellent technical knowledge of equipment, store/DC fixtures, and maintenance requirements.
- Experience with facilities maintenance systems -specifically Pragma.
Competencies and Skills
- Advanced facilities maintenance experience and skills.
- Sound technical understanding of critical store infrastructure, including refrigeration and HVAC, generators, lighting and forklifts etc.
