Responsibilities

The successful candidate will be responsible for:

  • Providing complete administrative and secretarial support to the Head of Clinical Department/Head of Department/School Chair and academic staff;
  • Coordinating and Administrating of Undergraduate and Postgraduate activities;
  • Handling telephonic, electronic and written enquiries, and processing of correspondence;
  • Capturing and maintaining of records in the department;
  • Assisting with organising of the annual events within the Department/School;
  • Providing general administrative and financial administration support for the Department/School ;
  • Handling of enquiries and other ad-hoc tasks in the Department/School.

Minimum Requirements

  • A three-year tertiary diploma in Office Administration or suitable equivalent qualification;
  • 2 years’ secretarial experience which includes office management and administration.

OR

  • Grade 12
  • 4 years’ secretarial experience which includes office management and administration

Required Competencies (skills, Knowledge And Behavioural Attributes)

  • Computer literacy with broad knowledge and experience in using MS Word, Excel, Gmail and the internet;
  • Strong communication and interpersonal skills, highly organised and a keen commitment to excellence;
  • The ability to liaise and communicate effectively on all levels within the organisation and with external stakeholders;
  • Ability to work independently and participate effectively within a team;
  • Excellent verbal and written language and communication skills;
  • Ability to work under pressure and meet deadlines;
  • Ability to pay attention to detail and working accurately.

Added Advantages And Preferences

  • Liaison with external stakeholders, including organisation of student rotations or examinations;
  • Experience in financial administration relating to procurement processes;
  • Experience in human resources administration relating to leave administration and assisting with recruitment processes;
  • Experience in using PeopleSoft;
  • Planning and managing events;
  • Making travel arrangements;
  • Driver’s licence.
