Job description

To perform the full Debtors Invoicing function by ensuring all Revenue, SP recovery and Commission have been invoiced. Ensure that all invoices are accurate and that any billing errors have been corrected. Meet daily, weekly, and monthly invoicing targets and deadlines to ensure a healthy cash inflow and accurate Financial Reporting. Maintain the Invoice Insurer Dashboard and resolve all queries to avoid delays with invoicing and cash inflows.

Duties & Responsibilities

Daily:

  • Invoice all invoice insurer within 48 hours of the case being validated and submit for payment with the relevant supporting documentation.
  • Close all invoiced tasks by uploading the CCA invoiced file as soon as invoicing has been done.
  • Invoice all Incident Revenue according to the invoicing agreement with each client.
  • Submit all invoice amendments and Credit notes to the Finance Manager for approval. Process all requests within 24 hours of receiving approval to ensure there are no delays with payments.
  • Save all invoices, supporting documents and invoice reports on the W:Drive in the allocated folder. Ensure documents are saved as per the Business Process.
  • Capture all order numbers for Santam Real Estate once the orders have been received and submit the invoices for payment.
  • Resolve all cancelled and closed cases on the dashboard and invoice Incident Fees where applicable.
  • Meet daily, weekly and monthly invoicing targets set out by the Finance Manager
  • Attend to all email queries and ensure all has been attended to within 48 hours of receipt.
  • Attend to all CCA tasks and ensure these are resolved within 48 hours of receipt.
  • Attend to all phone messages and return calls within the required SLA, close all messages with the relevant feedback once the call has been returned.

Weekly:

  • Prepare and submit the King Price Warranty Tow and Motorcycle Assist Bordereaux for approval every Monday and complete the invoicing once approved.
  • Invoice Guardrisk within 24 hours of receiving the Top up Bordereaux from the Claims Finance Team Leader.
  • Invoice all Santam Real Estate cases once the validations have been done.
  • Calculate all Liabilities and Recovery Commissions, complete the invoicing and submit for payment.
  • Update the Third-Party System with Debtors Notes once commissions have been invoiced
  • Log the relevant tasks for all Iclaims commission invoices to ensure payment has been requested.
  • Invoice all approved Cash Cases and submit the invoice to the client for payment.
  • Hand over all uncollectable cash cases to the MK Law for collection and attend to all queries regarding the handed over cases.

Monthly:

  • Invoice all revenue by the third working day of every month to meet Financial Reporting deadlines.
  • Request all member files from IT / Clients to ensure all invoicing is correct as per data.
  • Complete and submit the PSG SP recovery report on the second last Friday of the month as per request from PSG. Once it has been approved, generate invoice and send for payment.
  • Complete the Genric SP recovery invoice on the 1st of every month.
  • Invoice the Cash Based Bordeaux by the 20th of every month and submit both the CBB and SP recovery invoice to Genric to ensure the payment is reflecting in our account by the 24th.
  • Legal Rejection Commissions to be invoiced by the 3rd of the month
  • Legal Commission for AOD’s to be invoiced every 3rd month as per the AOD schedule in the Business Process.
  • Legal File Fees to be invoiced twice monthly to manage the workload. Request the file fees on the 15th and last day of every month.

Dashboard Maintenance:

  • Maintain the cancelled and closed Dashboard and ensure there are no tasks that are unattended to that has been allocated to invoice insurer.
  • Maintain the invoice insurer dashboard by ensuring there are no validated cases that have not been invoiced.
  • Maintain the Client - C-Sure dashboard by ensuring all cases that have been validated and has a claim number has been invoiced weekly.
  • Maintain the Client - C-Sure dashboard by ensuring all cases that have been invoiced but does not have order numbers has been followed up to ensure payment is requested.
  • Resolve all queries within 48 hours to avoid delays with invoicing and cash inflows.
  • Escalate all problematic queries to the Debtors Team Leader to assist with resolving.

Client Communication:

  • Ensure that you and your team respond to client queries and complaints timeously (48 Hours) to avoid unhappy clients.
  • Always maintain excellent client relationships by appropriate and courteous communication. The debtors are your clients, and all their queries must be responded to and resolved by yourself and your team, until resolution.

Evolution Maintenance:

  • Create new customer codes according to the Business Process and rules in place.
  • Maintain the customer on Evolution, by amending details where required.
