WE ARE LOOKING FOR...
We are looking for someone to oversee and manage the administration function within our Distribution Centre (DC). This entails ensuring smooth and efficient operations of our DC by managing all administrative functions, coordinating with various departments, and maintaining strong relationships with our distributors. Your role will be pivotal in ensuring that our products reach their destinations on time, and that our distribution processes are optimised for efficiency and accuracy.

Administrative operations & systems management
- Develop and implement administrative policies, procedures, and best practices to streamline workflows and improve efficiency.
- Implement and maintain administrative systems and technologies to support efficient operations and information management.
- Manage office facilities and resources, including space planning, equipment maintenance, and supplies inventory.
- Ensure compliance with company policies and regulatory requirements in all administrative activities.
- Manage expenses and financial records for administrative operations, ensuring cost effectiveness and accountability.
- Coordinate and prioritise administrative tasks and projects, ensuring timely completion and delivery of services.
- Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
- Handle confidential and sensitive information with discretion and integrity, always maintaining confidentiality and privacy.
Lead a high-performance team
- Provide training, coaching and mentoring to DC administrators regarding performance management, employee development and change management.
- Foster a positive and productive work environment within the DC administrative team, promoting teamwork, communication, and professional development.
- Collaborate with other departments to support cross-functional initiatives and projects that require administrative assistance.
- Stay updated on industry trends, best practices, and emerging technologies in administrative management.
- Manage schedules and deadlines for all DC admin related activities.
Customer service & key account management
- Provide excellent customer service by attending to customer and distributor inquiries, both locally and internationally.
- Manage key accounts, including handling customer complaints and resolving issues promptly.
- Ensure that customer and distributor contracts are up-to-date and revised as needed.
Risk management and compliance
- Identify and mitigate risks associated with administrative processes, including operational, legal and financial risks.
- Ensure that all administrative operations adhere to relevant legal and regulatory requirements, including data protection, and workplace safety regulations.
- Develop and implement policies to manage and safeguard company assets, including confidential information and physical resources.
- Conduct regular audits and reviews of administrative processes to ensure compliance and identify areas for improvement.
YOUR EXPERIENCE AND QUALIFICATIONS SHOULD INCLUDE...
- BCom degree in Logistics,or Diploma in Supply Chain Management / Logistics.
- At least 6 years experience in an administrative role with at least 2-5 years in a managerial position.
- Above average competence inMS Office, specifically inMS Excel.
- Excellent communication and collaboration skills, with the ability to influence and build strong relationships with internal and external parties.
- Excellent analysis and problem solving skills.
- Excellent leadership skills.
- Working knowledge and experience of inventory management practices and procedures.
