Provide an administrative support service to the Data Centre staff and to capture all relevant data into the Teraco database.

Responsibilities
  • Support the Data Centre Manager & Site Supervisor with administrative duties
  • Schedule meetings, appointments & site access (internal & external)
  • Compile meeting minutes and distribute
  • Prepare training packs and organisational reports as needed
  • Manage departmental internal & external training
  • Responsible for managing duty roster
  • Request quotations, raise purchase orders and processing invoices
  • Responsible for all testing instruments databases and calibration thereof
  • Manage tools, uniforms and health & safety registers in line with health & safety
  • Keep stock of office supplies, tools, PPE and maintenance items and place orders when necessary
  • Shipping stock to and from branches
  • Purchasing and managing stock and conducting monthly stock control
  • Printing, scanning and uploading job cards and all other documentation to asset management systems
  • Collaborate with on-site maintenance team and external contractors to ensure that company assets are repaired and maintained to meet company standards
  • Schedule and manage site planned & unplanned maintenance events and update maintenance calendar
  • Review working methods to ensure all SLA’s are achieved
  • Oversee daily activity of the teams and schedule jobs accordingly
  • Creating, following up, updating tickets and closing of tickets
  • Managing and updating incoming alarms and dispatching
  • Logging call outs and closing jobs
  • Client notifications to be sent
  • Client specific incident reporting in the event of issues arising on site
  • Assisting with ad hoc duties
  • Updating internal communication groups when issues arise
  • Ensuring handovers are compiled and actioned and followed through
  • Weekly ticket reporting to be presented to Data Centre Manager with status

Qualifications and Experience
