CRIM & Contract Management Administrator

This position is based in Cape Town, South Africa

What You Will Do

  1. Implement the Corporate Records and Information Management Programme (CRIM) and Compliance Framework support for Kenvue, South Africa.
  2. Manage the Contract Management database (Malbek CLM System) for AMET (Africa, Middle East and Turkey) by uploading and all associated activities of managing Commercial Agreements for the business.
  3. Review SOPs and Work Instructions for accuracy in the TRU cloud-based system.

Key Responsibilities

CRIM (Corporate Records and Information Management Programme):

  • Ensure CRIM standards implemented to appropriate levels (including both paper and electronic records as well as other CRIM standards). Revise QMS work instructions in line with updated and retired CRIM standards.
  • Conduct bi-annual compliance assessment reporting and corrective action plans.
  • Prepare and submit Annual Executive Summary and take appropriate actions arising from the annual CRIM assessment exercise and any other new CRIM standards issued.
  • Liaise with Corp Legal Department to ensure that relevant hold notices are adhered to and that records clear out take place as permitted.
  • Ensure that both records management policies and records retention schedules are made available during audits.
  • Liaise with company management and provide regular information to site governance group, including dashboards etc.
  • Manage Iron Mountain account and software – Connect, arranging access and training users.
  • Project work, including decommissioning, mergers and acquisitions. Advise and support project teams, sign offs, etc.
  • Contact with Records Coordinators and Departmental and Senior managers as required.
  • Regular contact with other members of the South African Finance team.
  • Comply with Legal holds issued by Law Department.
  • Conduct training on RIM Policy, Standards, and SOPs with Departmental Records Coordinators and Suppliers.
  • Be Super User for Malbek CLM System, work closely with AMET KLC team and other functions (e.g. finance and internal audit) and support any audits in the contracting field. Work on Malbek CLM System for creation, storage and electronic signature of contracts in many contract categories and will be the single “source of truth” for all Kenvue linked contracts by:
    • Managing Master Data
    • Managing Projects
    • Managing E-sign messages
    • Managing Departments contracts
    • Creating and Managing Access Groups
    • Managing Templates
    • Adding, Deleting and Managing Request Routing Rules
    • Creating multiple records in bulk
    • Performing bulk changes on multiple records
  • Review SOPs and Work Instructions for accuracy in the TRU cloud-based system as TRU Administrator for SSA by:
    • Collaborating with department leads to identify Process Owners for each SOP and Work Instruction.
    • Collecting and compiling all final approved SOPs and Work Instructions.
    • Uploading documents to the TRU cloud-based system with version control.
    • Providing ongoing support and training to Process Owners.
    • Tracking and expediting the approval process for all documents.

    What We Are Looking For

    Required Qualifications

    • Matric plus business diploma or PG degree in administration or relevant education.
    • Minimum 4-5 years of experience with administration skills, records and handling systems.
    • Experience with document and content management concepts and technologies.
    • Familiarity with the roll out of Compliance programs, reviewing contracts.
    • Good working knowledge of common IT systems, processes and information security practices.
    • Excellent communication and business partnering skills including stakeholder management.
    • Accuracy, integrity and attention to detail.
    • Ability to work autonomously.
