SUMMARY:

POSITION INFO:

The Key Performance Areas will encompass:

  • Support and Administration: Completion of forms such as COR 39, submission to relevant authorities, and handling documents on behalf of Directors.
  • Assist in providing good governance support by helping the Board and its committees function effectively according to their terms of reference and best practices.
  • Compile company registers for directorship meetings, interests, declarations, and qualifications.
  • Receive correspondence, send acknowledgements, and draft responses for Chair approval (for sign-off by the Company Secretary).

General Office Management:

  • Provide administrative support to the Company Secretary, including diary management and handling correspondence.
  • Draft minutes for Board Committees and Exco for submission to the Company Secretary.
  • Facilitate payments to non-executive Directors and independent Board Committee members.
  • Arrange logistics for the governance office, including meeting scheduling, venue, refreshments, and audio-visual needs.
  • Screen calls, handle routine inquiries, and resolve customer concerns.
  • Manage document filing and retrieval in line with Records & Document Management Policies.
  • Organise and attend meetings, ensuring proper recording and minute-taking.
  • Coordinate procurement processes, generate orders, and facilitate timely payments as per SLAs.

Liaison with Management:

  • Distribute resolutions and action items following meetings for implementation.
  • Follow up on actions and prepare governance status reports for the Company Secretary.
  • Manage correspondence from third parties and distribute appropriately.
  • Assist staff in ensuring compliance with regulatory frameworks and company policies.

Travel Coordination:

  • Arrange travel and accommodation for Directors and staff.
  • Maintain good relationships with travel agents to improve service quality.
  • Process travel and subsistence claims promptly according to policy.

Customer and Stakeholder Management:

  • Organise functions and workshops, including logistics, to promote the corporate image.
  • Schedule meetings with internal and external stakeholders.
  • Confirm attendance and follow up to increase participation.
  • Collect and manage stakeholder information to maintain an updated database.

Minimum Requirements:

  • National Diploma in Administration, Commerce, or Arts.
  • At least 3 years of work experience, including 2 years supporting executives or managing offices.
