Job description

Job Function

Customer service levels, KPI reporting and daily system administration. Legislation, Customs policies and procedures.

Key Performance Areas

Master Data Management:

  • Obtain client master data.
  • Obtain HS Tariffs and ensure that all required fields are completed on upload sheet and uploaded in system.
  • Maintain product compliance requirements in Process Assist.

Prohibited & Restricted Product Compliance for both import and export.

  • Liaise with Vendors regarding inbound compliance and supplier declaration requirements and ensure that the correct documentation is received for exportation.
  • Conduct pre-shipment compliance checks.
  • Liaise with foreign agents, agencies, and government institutions regarding in-country compliance & permits
  • Apply for various documentation required in the export process; for example: PPECB, PHYTO & various permits/licenses etc.
  • Book & facilitate all inspections.
  • Capture and following up of permit/certificate expiry dates and ensure that applications are submitted in time.
  • Stay on top of various state departments requirements and legislation.
  • Liaise with DC staff regarding requirements.
  • Timely advise any legislative and process changes to clients & vendors.

Customer Service:

  • Internal & external KPI levels must be met.

Relationship management:

  • Vendors
  • Government departments

General:

  • Compile Reports
  • Write SOP | Business Process
  • Ensure customer KPI sheets are maintained.
  • Ensure that all costs are accounted for and Invoiced.
  • Problem solving
  • Upload of Permits and General filing and sorting of documents.
  • Assist with general ad hock duties.

Timely and Accurately maintain Process Assist Data.

  • Maintaining communication with management and colleagues to promote efficiency and to ensure irregularities are
  • highlighted.
  • Maintain good working relationship with clients/Customs/inspectors.
  • Ensuring accurate completion of all documents.
  • Confidentiality of IMS clientele.
  • Ensure all compliance measures are met.
  • Timely problem solving of various aspects that might cause delays within the export process.

Qualifications Required

  • Matric
  • Bachelor’s degree or higher in International Trade, Customs, Logistics, Supply Chain Management, Law, or a related field.
  • Relevant certifications (e.g., Customs Compliance Certification, International Trade Certification, or similar) are highly advantageous.

Experience and Skills Required

  • Minimum of 2-3 years of in customs compliance, trade operations, or customs brokerage.
  • Proven track record of managing complex customs processes and ensuring compliance across multiple jurisdictions.

  • Technical and Regulatory Knowledge
  • Deep understanding of international trade laws, customs regulations, tariffs, excise duties, and trade agreements (e.g., WTO, regional trade agreements).
  • Familiarity with customs management systems (e.g. Cargowise 1).
  • Knowledge of import and export documentation requirements, classification, valuation, and origin and destination country rules.
