SUMMARY :
The Contract Administrator is the sole in-house legal and contract-management resource. The role involves drafting, reviewing, and maintaining agreements with learners, suppliers, and independent contractors, managing the central contract register (Excel or SharePoint), and supporting compliance with commercial, BBBEE, and labour law regulations. The incumbent also drives vendor-performance reporting, delivers contract-compliance training, supports procurement governance, and administers OHS documentation and appointments.

QUALIFICATIONS & EXPERIENCE
- Paralegal diploma, LLB, or similar commercial-law qualification.
- Minimum one (1) year in graphic design.
- At least three (3) years’ contract-administration experience in the training or services sector.
- Strong understanding of South African commercial & labour law, BBBEE Codes, POPIA.
- Intermediate computer skills (MS Word, Excel, PowerPoint, Google).

DUTIES & RESPONSIBILITIES
The duties include the following :
Contract Lifecycle & Governance
- Draft, proofread, and finalize agreements using approved templates.
- Send out and track completion and signing of contractual arrangements.
- Maintain the central contract register with key dates, values, and obligations.
- Issue renewal or termination alerts at least sixty (60) days before expiry and track to closure.
- File signed contracts electronically; prevent payments on expired agreements.
Vendor Performance & Spend Analytics
- Track supplier service-level obligations and compile quarterly vendor-performance scorecards.
Compliance & Risk Mitigation
- Act as the first point of contact for legal queries; escalate material risks.
- Monitor clauses for BBBEE, labour law (BCEA, LRA), and POPIA compliance.
- Conduct annual contract-template review and maintain litigation/dispute logs.
- Follow up on OHS risk assessments with appointees and third-party providers.
Staff Training & Awareness
- Deliver bi-annual contract-compliance workshops to managers and campus teams.
- Publish quarterly ‘contract-pulse’ bulletins on pitfalls and best practices.
Procurement & Policy Support
- Support tender packs and due-diligence questionnaires with contract data.
- Verify supplier certificates and maintain expiry calendar.
- Assist in developing and updating procurement and contract policies.
- Ensure receipt and proper filing of supporting documents per policies and legislation.
Statutory & Regulatory Filings
- Support SETA / QCTO / BBBEE audits with contract evidence.
Basic Contract Implementation, Monitoring (CCS), and Data Integrity
- Update contract data on the SAC Contract Control Sheet.
- Ensure data accuracy and completeness.
- Assist in maintaining data integrity organization-wide.
- Manage entity-specific access for data updates.
Contract Template Setup, Maintenance & Use
- Maintain templates for NDAs, consulting, loan, asset sales, and lease agreements.
- Manage Fixed-Term Contracts (FTCs) and Workplace Hosting Agreements for learning entities.
Contract Administration & Review
- Verify requisitions against templates, issue verification letters, and ensure proper execution.
Operating Contracts Management (Cross-Functional)
- Manage operational contracts for IT, facilities, security, and other services.
- Monitor performance, ensure alignment, and manage renewals.
Inter-Company Agreements
- Standardize and streamline contracts between Group entities, ensuring strategic alignment and minimal friction.
OHS Policies, Appointments & Committees
- Develop and maintain OHS policies and procedures.
- Manage appointment of OHS representatives and officers.
- Coordinate OHS committee meetings and ensure documentation compliance.
- Schedule and oversee OHS-related activities to ensure legal compliance.
