Minimum Requirements
  • CIS or equivalent qualification in company secretariat focus
  • 2-3 years’ experience in a company secretariat environment
  • Proven customer orientation
  • General administration and/or secretariat experience
  • At least 5 years of minute-taking experience
  • Proficiency in MS Office Suite
  • Willingness to work irregular hours as required
Primary Duties
  • Prepare notices, agendas, and meeting packs within prescribed timelines
  • Attend meetings, record minutes, and take notes
  • Handle general office administration, planning, and coordination
  • Distribute minutes and communicate resolutions
  • Follow up on reports, submissions, and meeting documentation for PIC pack compilation
  • Arrange delivery and ensure timely distribution of meeting materials
  • Book meeting venues, catering, and assist with travel arrangements
  • Maintain PIC documents and records, ensuring accessibility
  • Ensure signed minutes are submitted to records department for safekeeping
  • Maintain minute books and statutory registers per legal and governance standards
  • Type documents, reports, and correspondence for meetings
  • Update and upload information on the PIC portal
  • Perform ad hoc duties as required
  • Participate in administrative and management tasks
