Our client is looking for a Committee Assistant to support the administrative and operational functions of various internal committees, including governance boards and regional structures.
This role is key in ensuring effective coordination, accurate documentation, and smooth communication among internal and external stakeholders.

Key Responsibilities
Committee Administration & Coordination
Schedule and coordinate meetings, notifying participants of dates, times, and venues (physical or virtual).
Prepare and distribute agendas and supporting documents in advance.
Book venues and manage virtual meeting platforms (e.g., MS Teams, Zoom).
Record and distribute minutes, ensuring all action items and decisions are accurately captured.
Maintain committee records and documentation for reference and compliance.
Track follow-ups and deadlines to support the execution of committee mandates.
Work closely with internal departments (e.g., Legal, Finance, Compliance) to support committee operations.
Serve as a point of contact for external stakeholders such as auditors, regulators, and industry partners.
Keep members informed of developments that may impact committee decisions.
Monitoring & Evaluation (M&E)
Assist with the development and execution of monitoring and evaluation frameworks, particularly related to Non-Financial Information (NFI) and sustainability reporting.
Support the review and improvement of ESG disclosures in line with global standards.
Help identify funding or sponsorship opportunities for strategic initiatives.
Reporting & Compliance
Ensure committees operate within internal governance standards and external regulatory frameworks.
Facilitate timely submission of reports and compliance documentation to relevant stakeholders
Transformation & Digital Enablement
Support cost-containment efforts and drive process efficiencies.
Use data and digital tools to enhance productivity and decision-making.
Embrace AI and automation to streamline routine tasks and support innovation.
Help identify and manage sustainability-related risks within the committee context.
Requirements
Education & Certification :
Matric
Knowledge of corporate governance, minute-taking, and committee administration
Experience :
Experience in meeting coordination and minute writing
Skills & Attributes :
Excellent communication (verbal and written)
Organised with exceptional attention to detail
Able to multitask and work independently
Discreet, professional, and team-oriented
Flexible and adaptable to changing priorities
