The Collection Clerk/Assistantplays a vital role in the daily operations of the Dispatch and Collection Department. This position is responsible for the accurate collection, handling, and dispatch of goods for customer deliveries and inter-branch transfers.Key responsibilities include operating a forklift, loading and offloading goods, verifying stock, and ensuring that all collections and dispatches are completed accurately, safely, and on time.
Duties And Responsibilities Including But Not Limited To
- Assist the Customer Service Clerk in dealing directly with customers either by telephone,
- electronically or face to face
- Collect goods from the correct staging areas for dispatch.
- Operate a forklift/pallet jack to move, stack, load, or offload goods efficiently and safely.
- Check all outgoing goods against dispatch documents to ensure accuracy.
- Assist collection drivers with loading and securing loads for delivery to minimize damage in transit.
- Report any missing, damaged, or incorrect items to the supervisor immediately.
- Complete collection and dispatch documentation accurately and submit it as required.
- Prepare 3rd party waybills if and when requested.
- Prepare goods for outbound shipments, including wrapping, labelling, and palletizing where needed.
- Maintain housekeeping standards in collection areas and loading bays.
- Follow safety protocols at all times, including correct equipment handling.
- Provide customers (internal and external) with weight and dimensions when requested.
- Assist the Customer Service Clerk with compiling and checking weekly floor report.
- Assist the Customer Service Clerk to manage the overdue collection report and action where necessary.
- Communicate delays or collection issues to the supervisor/manager.
- Assist the Customer Service Clerk to organize workflow to ensure orders are timeously picked and packed and ready for collections.
- Assist the Customer Service Clerk to manage the collections department’s administration.
- Ensure collections procedures are always followed.
- Perform other reasonable duties as assigned by management.
Education and Required Skills
- Grade 12 (Matric Certificate)
- Tertiary qualification – highly beneficial
- Previous experience in a customer service department – highly beneficial
- Strong customer service orientation
- Customer-focused with the ability to deliver exceptional service
- Valid forklift license – highly beneficial
- Knowledge of customer service principles and practices (2–3 years)
- Proficiency in relevant computer applications (2–3 years)
- Understanding of administrative procedures (2–3 years)
- Strong problem analysis and problem-solving skills (2–3 years)
