Job description

Company involved in cold storage is looking for a suitable candidate for a Cold Store Clerk position.

The position is based in City Deep, Johannesburg.

It is a 3-month Fixed Term Contract. Purpose: This position is responsible for the administration of the Cold Store, maintaining the warehouse management system, supporting internal and external customers, reporting on daily statistics, and administering the billing process. The role emphasizes personal development, driving performance excellence, and living organizational values.

Reporting to : Cold Store Admin Supervisor

Key Performance Areas / Responsibilities
  1. Administration of the Cold Store
  • Coordinate daily planning for stock movements (inbound and outbound)
  • Process client orders (COS), amendments, and special instructions
  • Liaise between traders, clients, and cold store operations
  • Generate and verify orders, picking slips, GIVs, and dispatch documentation
  • Ensure dispatch compliance with temperature standards
  • Handle stock queries, maintain records, and assist with stock takes
  • Support general office upkeep, stationery requests, and equipment maintenance
  • Follow all food safety and quality compliance guidelines
  • Warehouse Management System Maintenance
    • Manage stock transfers and ensure accurate data capturing
    • Oversee stock movement processes and stock take activities
    • Report and communicate stock levels to clients and management
  • Support Between Internal and External Parties
    • Confirm and process customer orders and release notes
    • Ensure accuracy of picking instructions per cold store procedures
    • Provide updates to traders and clients
    • Address and resolve order and delivery queries
  • Daily Statistics Reporting
    • Capture and report daily stock movements and utilization
    • Generate and distribute operational and statistical reports to management
  • Billing Process Administration
    • Review uncommitted reports and resolve uncommitted GRVs before billing
    • Generate Principal Movement reports and ensure correct billing
    • Run billing to create invoices, verify against client accounts, and prevent duplication
    • Prepare and send reports and invoices to clients, making amendments as needed

    Salary : Basic salary plus overtime as necessary.

    Requirements

    Qualification : Matric

    Experience : 3-5 years in administration or similar role within high-volume cold store operations in the food industry.

    Preferred : Over 5 years experience in similar roles within the food industry.
