Role Summary
The Clinic Manager is responsible for the smooth running of all administrative, operational and team management aspects of the clinic. This is a non-treatment role focused on leadership, logistics, stock management, and service quality assurance.
Key Responsibilities
Operational Management
- Open and close the clinic daily, ensuring a professional and welcoming environment.
- Oversee the daily schedule and maximise efficiency in bookings.
- Monitor and uphold health, safety and hygiene standards in all areas of the clinic.
- Co-ordinate daily setup and shutdown procedures, including salon cleanliness.
Team & HR Support
- Manage staff scheduling and the daily register.
- Coordinate recruitment, onboarding, training, and performance appraisals.
- Monitor team presentation, punctuality, and professionalism.
- Resolve internal staff disputes and escalate when appropriate.
Client Experience Oversight
- Ensure a high standard of service and prompt handling of client queries or complaints.
- Monitor daily client flow and staff readiness.
- Ensure indemnity forms are correctly completed and filed.
Financial Administration
- Perform and submit daily cash-ups and end-of-day reports.
- Track sales and ensure accuracy of payment processing.
- Support the Director in setting targets and monitoring financial performance.
Stock & Supplier Coordination
- Monitor stock levels and track product usage.
- Conduct and document weekly and monthly stock takes and resolve discrepancies.
- Liaise with suppliers, approve deliveries and prepare purchase orders for signoff.
- Keep accurate and up-to-date stock and supplier records.
Marketing & Social Media
- Opportunity exists to become involved in day-to-day social media posting and community engagement, should that be of interest.
Candidate Profile
- At least 4 years' experience in a similar operational role within the skin care or hospitality industry.
- English First Language.
- Excellent organisational and interpersonal skills.
- Confident in handling cash-ups, sales tracking, and team co-ordination.
- Strong attention to detail and high personal standards.
- Calm under pressure and solution-oriented.
- Reliable, professional and discreet. Takes ownership of responsibilities.
Working Hours
5 days a week - Tuesday to Saturday
Closed on Sundays, Mondays and Public Holidays outside of peak season.
Clinic trading hours:
- Tuesday - Wednesday 09h00 – 17h00
- Thursday - Friday 10h00 - 19h00
- Saturdays 09h00 - 14h00
Flexibility required based on operational needs.
