The roles and responsibilities of the successful candidate are as follows:
1. CLIENT ONBOARDING
- Oversee and manage the onboarding process for new clients and the integration of new funds for existing clients.
- Collect all necessary client information including business details, contact information, and relevant documentation.
- Review and explain contract terms and conditions to the client ensuring mutual understanding.
- Ensure both parties sign the agreement and retain copies for recordkeeping.
- Collaborate with internal teams to onboard the client onto the relevant Apex systems.
- Coordinate with teams such as legal, compliance, finance, and technical support to ensure all aspects of client readiness are met.
- Provide clients with access to platforms, tools, or software ensuring proper setup and functionality.
- Conduct onboarding sessions or provide materials to familiarize clients with products, services, and processes including relevant training where needed.
- Maintain clear communication with clients to address questions or concerns and keep them informed of timelines and updates.
- Gather client feedback on the onboarding process to enhance future experiences.
- Organize and conduct handover meetings between the client and relevant operations teams.
- Build and maintain relationships with clients and internal teams to ensure smooth service delivery.
2. BILLING MANAGEMENT
- Collect all necessary information to accurately calculate billing for upcoming invoices.
- Submit the billing sheet to the Finance team ensuring each invoice is prepared accurately.
- Send invoices to clients promptly.
3. OTHER TASKS
- Any ad-hoc tasks required.
Skills Requirement:
- A good understanding of various Private Equity Fund structures and the administration of these structures.
- Highly organised, efficient, and professional with excellent administrative and organisational skills.
- Sound knowledge and understanding of back-office systems. Investran, eFront, and Paxus is beneficial.
- Demonstrated ability to work in a pressurised environment.
- Have a confident, professional, and enthusiastic approach when dealing with clients and intermediaries of the business.
- Be familiar with fund services, controls, and procedures to ensure compliance and minimise risk.
- An ability to constantly challenge and look to improve the daily operation.
- Have a practical hands-on approach and the ability to get things done.
- Be able to communicate clearly with clients, staff, and senior management.
