Minimum Requirements:

  1. Matric or equivalent Senior Certificate
  2. Degree in Communications, Business Management, Human Resource Management, or related field.
  3. Minimum of 2 – 4 years of experience in change management, internal communications, or a related role.
  4. Application of research methodology, quantitative and qualitative.

Job Specification:

Change Management Support

  1. Support the development, planning, and implementation of change initiatives, ensuring alignment with business objectives, organizational culture, and employee engagement plans.
  2. Assist in assessing change impacts, identifying key stakeholders, and developing tailored communication and training plans.
  3. Collaborate with cross-functional teams to implement change management frameworks, methodologies, and best practices.
  4. Monitor change adoption, gather feedback, and analyze data to refine plans and enhance overall effectiveness.
  5. Provide logistical and administrative support for change-related activities, including workshops, stakeholder meetings, and training sessions.

Communication Plans

  1. Prepare and implement internal communication plans to effectively support organizational change efforts, ensuring clarity, consistency, and alignment with company objectives.
  2. Craft compelling messaging tailored to different audiences, using various communication channels such as emails, intranet updates, town halls, and leadership briefings.
  3. Coordinate with key stakeholders to ensure communication materials effectively engage employees and reinforce essential change messages.
  4. Establish feedback mechanisms to evaluate communication effectiveness, gather employee feedback, and refine messaging methods or approach.
  5. Ensure all communications reflect the organization's culture, values, and objectives while promoting transparency and engagement.

Communication and Content

  1. Design engaging and impactful communication materials, including emails, newsletters, presentations, intranet updates, and video scripts, to effectively convey essential messages.
  2. Tailor content to different audiences, ensuring clarity, relevance, and alignment with organizational tone, voice, and branding guidelines.
  3. Collaborate with subject matter experts, leadership, and communication teams to translate complex information into clear, digestible content.
  4. Leverage storytelling techniques and visual elements to enhance message retention and employee engagement.
  5. Continuously assess content effectiveness through feedback, analytics, and best practices, refining materials to optimize impact.
  6. Ensure online or digital channels are utilized to communicate with our employees across the business.
  7. Design and deploy surveys and accurately monitor and track trends over time.

Retail-Specific Communication

  1. Ensure store-level employees receive clear, concise, and actionable information regarding organizational changes, tailored to the unique needs of frontline retail employees.
  2. Create and implement targeted communication plans to ensure change messages are effectively delivered and understood by retail employees at all levels.
  3. Collaborate with retail management teams to create and distribute communication materials that resonate with store staff, fostering engagement and understanding of change initiatives.
  4. Leverage multiple communication channels (e.g., digital signage, internal apps, in-store briefings) to reach retail employees and keep them informed and connected.

Engagement and Event Coordination

  1. Design, implement, and manage surveys, focus groups, and feedback sessions to gauge employee sentiment, change readiness, and overall engagement during organizational change initiatives.
  2. Plan and coordinate town halls, workshops, and engagement events to effectively communicate change initiatives and foster employee understanding and buy-in.
  3. Coordinate logistics, content, and speakers for events, ensuring seamless execution and alignment with change management objectives.
  4. Engage in two-way communication, encouraging employee participation, feedback, and connection with leadership.

Continuous Improvement and Reporting:

  1. Provide timeous and accurate reports as required and requested.
  2. Track and report on employee feedback trends, identifying areas of concern and opportunities for improvement throughout the change process.
  3. Monitor and evaluate training effectiveness through feedback, assessments, and performance metrics, adjusting as needed to optimize outcomes.
  4. Ensure continuous communication with employees, promoting transparency and reinforcing the value of their input in shaping the change journey.
  5. Measure the effectiveness of initiatives implemented through employee feedback, engagement metrics, and follow-up surveys, continuously improving future events.

Stakeholder Liaison:

  1. Collaborate closely with HR, Operations, and Leadership teams to design and drive effective change messaging, ensuring alignment across all levels of the organization.
  2. Foster strong relationships with key stakeholders to gather insights, address concerns, and ensure buy-in for change initiatives.
  3. Serve as a liaison between management and employees, facilitating open lines of communication and promoting transparency during change efforts.
  4. Support the identification and management of key stakeholders, ensuring that their needs and concerns are addressed throughout the change process.
  5. Engage with stakeholders in the Warehouses, Distribution Centres, and Stores.
  6. Coordinate and collaborate with Learning stakeholders to curate learning experiences.
  7. Collaborate with HR and leadership teams to develop targeted feedback tools that capture both quantitative and qualitative data, ensuring a comprehensive understanding of employee perspectives.
