Career Services Project Coordinator - Department of Enrolment and Student Administration

DEPARTMENT OF ENROLMENT AND STUDENT ADMINISTRATION

Job Purpose
To provide support to the Career Services Office’s functions by focusing on work readiness training and opportunities. This position requires developing and expanding student employability skills and work exposure opportunities for students to support the aim of employability in the UP strategic plan and ensure that graduates are prepared when entering the job market.

Responsibilities
The successful candidate’s responsibilities will include, but are not limited to:

  • Student employability and development:
    • Manage the student development in the Ready for Work and Work Readiness programme to support the UP strategy for student employability:
      • Assist students in developing their self-knowledge related to career choices and work performance by identifying, assessing, and understanding their competencies, interests, values and personal characteristics;
      • Prepare students to find employment by developing job searching skills, effective candidate presentation skills, interview preparation and the understanding of the fit between their competencies and occupational and job requirements;
      • Coordinate the Ready for Work and Work Readiness activities across all divisions and campuses with the various stakeholders;
  • Marketing and promotion of student employability offerings:
    • Liaise with employers for presentations or workshops to enhance student development and market opportunities to students;
    • Conceptualise, drive and manage marketing campaigns to raise awareness of the Ready for Work and Work Readiness programme;
    • Promote the enrolment of the Ready for Work, Work Readiness and Student Development courses to students and alumni by conducting drives and activations;
    • Provide information on Ready for Work and Work Readiness courses through print and electronic media, publications, presentations, outreaches, and during the orientation programme;
  • Student skills transfer:
    • Establish a student hub on campus to support student development for employability;
    • Conduct training workshops for students to acquire the necessary work readiness skills;
    • Initiate, manage and coordinate an employability “Boot camp” for final-year students annually;
    • Train students on online resources usage, i.e., TuksCareers and LinkedIn;
    • Manage and further develop skills development modules in collaboration with Enterprises UP;
  • Work exposure:
    • Manage a centralised work exposure function for UP students and graduates:
      • Establish and manage internships, leadership and opportunities for work exposure for students;
      • Coordinate internships and work exposure opportunities across all divisions and campuses with the various stakeholders to ensure a seamless and effective delivery of the initiative;
      • Investigate and source funding for internships or work exposure opportunities for UP students and graduates, in collaboration with faculties, other stakeholders and employers;
      • Ensure that work exposure opportunities, their application process and closing dates are communicated to qualifying students;
  • Industry engagement:
    • Plan and coordinate execution of Career Event days;
    • Coordinate and manage registrations of employers;
    • Market to source employer participation;
    • Liaise with employers on requirements and protocols for University access;
    • Manage the project budget and resource allocation;
  • Monitor students and employers participating in work exposure opportunities:
    • Create standards for both employers and students for successful completion of work exposure opportunities;
    • Monitor students placed in companies and ensure compliance with minimum standards;
    • Ensure mentorship at the beginning of the work exposure opportunities;
    • Conduct regular monitoring and evaluation of employers (monthly);
  • Manage mentorship programme:
    • Individually match mentors and mentees, and send customised individual communication to participants;
    • Develop a mentorship programme and calendar;
    • Host induction sessions for participants;
    • Source speakers for industry workshops;
    • Facilitate industry sessions;
  • Stakeholder engagement:
    • Identify and coordinate the different UP stakeholders and their activities as related to employability;
    • Develop and implement a communication profile to engage and keep stakeholders updated on opportunities and services;
    • Establish and maintain a database of employers;
    • Develop a marketing strategy to attract employers;
  • Administration, Human Resources and finance:
    • Plan and strategies for the unit’s targets and monitor progress for growth in student involvement relating to student offerings;
    • Manage temporary workers and other staff as related events;
    • Manage the agreement / contract with the employers;
    • Source additional funding / sponsorship for programmes and interventions;
    • Assist in activities for Career Services and Department of Enrolment and Student Administration (DESA) as required.

Minimum Requirements
Relevant Bachelor’s / BTech degree; with three years’ experience in:

  • Project management;
  • Stakeholder management;
  • Student development or workplace training;

OR

National Diploma; with five years’ experience in:

  • Project management;
  • Stakeholder management;
  • Student development or workplace training.

    • Marketing skills and knowledge;
  • Technical competencies:
    • Computer literate;
    • Asset management and stock control;

      • Develop presentations and ideas to individuals or groups using a variety of media;
      • Identify issues, obtain relevant information, relate and compare data from different sources, and identify alternative solutions;
      • Maintain effectiveness when experiencing major changes in work tasks or the work environment;
      • Develop and maintain effective relationships with others in order to encourage and support communication and teamwork;
      • Convey information clearly and concisely to groups or individuals, either verbally or in writing, to ensure that they understand the information and the message;
      • Deal with others in difficult and complex situations to achieve resolution or adherence to laws and/or regulations;
      • Recognise and respect the value of individual differences at all levels of the organisation;
      • Allocate attention and resources to complete multiple tasks simultaneously;
      • Manage high stress situations calmly and effectively;
      • Present information to individuals or groups; deliver presentations suited to the characteristics and needs of the audience;
      • To listen and respond appropriately to others;
  • Initiative and drive to set and achieve goals independently;
  • Skill and ability in coordinating, facilitating, and participating in a collaborative approach to the completion of tasks or assignments.

Added Advantages And Preferences

  • Relevant four year / Honours degree;
  • Three to five years’ experience in the following:
    • Student / graduate career development programmes;
    • University of Pretoria stakeholder environment (internally and externally);
    • Report writing;
    • Graduate recruitment practices;
    • Public speaking / presentations;
    • Managing internships and work exposure opportunities;
    • Working with Sector Education and Training Authority (SETAs) and the Quality Council for Trades and Occupations (QCTO);
    • Setting up and managing a database;
    • Programme development;
    • Fundraising;
    • An institution of higher learning;
    • Valid driver’s license;
    • Short learning programmes.

The annual remuneration package will be commensurate with the incumbent’s level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
