Job Description
This position will be responsible for day-to-day operational activities at the NDB Africa Regional Centre (ARC), including administrative services required by all internal stakeholders of the ARC.
The responsibilities include procurement and sourcing of operational goods, financial reporting and budget management, office facility management and maintenance, office reception administration, travel and hotel bookings, claims processing, office vehicle administration, among others, in accordance with the Bank's policies, guidelines, and processes.
The position reports to the Director General, Africa Regional Centre, and is based at the Bank’s regional office in Johannesburg, South Africa.
Specific responsibilities include, but are not limited to:
- Procure office supplies cost-effectively, following procurement policies and guidelines.
- Conduct physical audits of office supplies, and manage ordering and dispensing as needed.
- Maintain communication with the Bank’s divisions and serve as the contact for facilities-related inquiries, ensuring efficient and timely handling of requests. Review facilities provisions and suggest improvements.
- Coordinate with third-party service providers to resolve facilities issues and report areas for improvement.
- Provide financial, budget, and accounting documentation to the relevant Bank divisions as required.
- Handle inquiries from internal stakeholders and maintain records of issues and resolutions.
- Organize and maintain office correspondence, records, and files per Bank requirements.
- Manage office security, biometric access, and maintain the security access control database.
- Coordinate administrative services, including official vehicle management, office supplies, event planning, etc., independently or with support.
- Manage travel arrangements, including flight bookings, hotel reservations, visa assistance, and maintain travel records.
- Oversee the reception area to ensure high-quality service for visitors and ARC staff.
- Assist with protocol support for internal and external stakeholders as needed.
- Support documentation for audits when required.
- Manage the Director General’s diary in ARC.
- Perform other duties as assigned.
Position requirements
- Minimum of 7 years of relevant administrative experience.
- Hands-on experience in travel, facilities administration, procurement, etc.
- Proven communication skills in English (verbal and written).
- Ability to work effectively with individuals from diverse cultural backgrounds.
- Good knowledge of procedures, formats, and standards relevant to the role.
- Experience working under tight deadlines.
- Strong problem-solving, communication, conflict management, and interpersonal skills, with resilience and goal-oriented drive.
- Bachelor’s Degree in a relevant field.
- Experience in administrative or management roles.
