Key Responsibilities
- Administratively support all aspects of the buying process.
- Ensure timely placement of orders onto the purchasing system.
- Maintain a control system for the sample room.
- Compile, balance, and update spreadsheets and reports.
- Maintain quality assurance control and audit of samples.
- Prepare all materials required for presentations.
- Complete administrative documentation related to loading products into the system.
- Build constructive relationships with suppliers.
- Communicate with suppliers to gather necessary information for product loading.
- Process amendments and communicate changes to relevant parties.
- Support customer service in resolving product and order queries, complaints, sourcing, and pricing issues.
- Manage orders through the critical path process.
- Pull weekly reports on incoming stock and liaise with suppliers for sample management.
- Manage the sample process between retail and production.
- Prepare products and documents for quarterly SWOT analysis.
- Conduct competitive shop analysis independently.
- Pull samples/images for weekly sales reports or product meetings.
- Assist buyers with order placements.
- Maintain the retail sample room.
- Assist with coordination of QA samples.
Qualifications and Experience
- Matric, Higher Certificate, or Diploma.
- Buying admin experience.
- Understanding of the clothing retail cycle and buying process.
- Proficiency in computer software packages (Excel, Word, email preferred).
