Job Title: Buyers Assistant (Catering Administration Focus)

The Faircape Group is a conglomerate with interests spanning Healthcare, Retirement Holdings, Telecommunications, ISP services, Utility Management, infrastructure installation, and Property Management. We are seeking a highly organized and proactive Buyers Assistant, with a strong focus on catering administration, to join our dynamic team.

The ideal candidate will support the purchasing team in sourcing, ordering, and managing supplies, while assisting with administrative tasks related to catering and food service operations.

Key Responsibilities:

  1. Support Catering Purchasing: Assist the Senior Buyer in sourcing and ordering food, beverages, and catering supplies from approved vendors, ensuring timely and cost-effective procurement.
  2. Supplier Coordination: Maintain effective communication with suppliers, ensure accurate and timely delivery of goods, and promptly communicate any issues for swift resolution.
  3. Cost Control: Review and analyze costs, contributing to cost-reduction initiatives.
  4. Inventory Management: Track inventory levels, maintain stock, and identify reorder points to prevent shortages or excess.
  5. Order Processing: Accurately process purchase orders and requisitions, maintaining records of all orders and deliveries.
  6. Data Entry & Reporting: Update procurement data, generate reports on spending, delivery timelines, and inventory status.
  7. Catering Support: Coordinate food supply needs for catering events, ensuring availability of correct products.
  8. Documentation & Filing: Organize procurement documentation, including invoices, contracts, and order histories.
  9. Communication & Coordination: Liaise with internal departments and ensure alignment for procurement and event requirements.
  10. Vendor Relationships: Assist in developing and maintaining relationships with suppliers, seeking cost savings and quality improvements.
  11. Compliance: Ensure procurement activities comply with company policies, standards, and regulations.

Qualifications & Experience:

  • A degree or qualification in Business Administration, Supply Chain Management, or a related field is advantageous.
  • Previous experience in purchasing or administrative support, especially in foodservice, catering, or hospitality, preferred.

  • Strong analytical, critical thinking, and organizational skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Excellent communication skills, both written and verbal.
  • Knowledge of inventory management and supply chain processes.
  • Customer-focused attitude and problem-solving abilities.
  • Team player with a positive attitude, able to work independently and adapt to changing priorities.

Specific Requirements:

  • Clear health, criminal, and credit records.
  • Written references available upon request.

Working Conditions:

Normal hours: Mondays to Fridays, 08h00 - 17h00, with a 45-minute lunch break. Flexi-time between 07h00 and 18h00, subject to approval.

Location: Modern offices in Claremont, across from Cavendish.

Remuneration:

Market-related salary starting from R 22,000 CTC per month, dependent on qualifications and experience. Additional benefits include quarterly performance bonuses, long service leave, free daily coffee, ISP discounts, flexible work hours, subsidized parking, and vending machine snacks.
