Procurement Officer Job Description

We are seeking a Procurement Officer to join our team. The successful candidate will be responsible for:

  1. Assisting in selecting appropriate suppliers to promote good procurement practices.
  2. Establishing departmental procurement needs, quality, and delivery requirements.
  3. Placing orders, noting timing, supply/demand alignment, material replenishments, and supplier performance.
  4. Monitoring, evaluating, and improving supplier performance continuously.
  5. Controlling and monitoring expenses against approved budgets.
  6. Implementing cost-saving measures and budgeting strategies.
  7. Negotiating payment terms with suppliers.
  8. Maintaining purchasing requirements within the company.
  9. Reviewing and updating inventory as needed.
  10. Receiving and processing orders from various departments.
  11. Initiating and tracking orders.
  12. Receiving, inspecting, and distributing orders.
  13. Reconciling or resolving order discrepancies with suppliers.
  14. Monitoring delivery times to ensure punctuality.
  15. Maintaining good supplier relationships and renegotiating prices regularly.
  16. Coordinating bulk orders.
  17. Maintaining daily records and updating asset registers.
  18. Conducting annual asset stock takes.
  19. Making policy analysis and recommendations.
  20. Preparing monthly and weekly cost and expense projections.
  21. Performing weekly PPE stock taking on paint and material control sheets.
  22. Raising COD payment requisitions for specific suppliers.
  23. Managing site petty cash and administering staff expense claims.
