Job Title: Business Unit Administrator

Location: Gauteng, Pretoria

Deadline: May 24, 2025

Key Responsibilities

  1. BU Administration and Office Support:
    • Provide effective administration and office support services within the Business Unit.
    • Serve as the first point of contact for internal and external clients via telephone and email.
    • Maintain a systematic filing system for easy document retrieval.
    • Develop and regularly update a contact database.
    • Draft correspondence in consultation with the Manager.
    • Prepare and type correspondence, minutes, reports, and other documents as needed.
    • Offer secretarial support for committees chaired by the BU Manager.
  2. Meeting Coordination:
    • Manage the Manager's diary, organize meetings, and handle related correspondence.
    • Monitor responses to meeting invitations.
    • Arrange meeting venues and prepare agendas with input from participants.
  3. Travel Administration:
    • Coordinate travel arrangements with the contracted agency.
    • Organize staff and Manager's travel, including transport, accommodation, and flights.
    • File travel requisitions and invoices.
  4. Records and Documentation Management:
    • Maintain an efficient filing system.
    • Update contact databases regularly.
    • Manage incoming and outgoing correspondence.
    • Establish and maintain document management systems.
  5. Procurement Management Administration:
    • Prepare requisitions and purchase orders.
    • Source quotations through RFQ processes.
    • Request manager’s approval before forwarding purchase orders to SCM.
    • Track orders, invoicing, and receipt of goods.
  6. Finance Management Administration:
    • Process S&T claims.
    • Monitor and report on budget expenditure.
    • Ensure financial transactions comply with policies and the PFMA.

Educational Qualifications

  • Grade 12.
  • National Diploma (NQF 6) in Office Administration or equivalent.
  • 3-5 years of experience in Office Administration or Secretarial roles.
  • Proficiency in MS Office.
