Job description

Applications are invited for the Business Systems Project Manager, to be based in Stellenbosch.
This person will report to the Business Systems Manager.

DESCRIPTON OF THE ROLE:
As Business Systems Project Manager you will be responsible for the management of Business Systems-related projects. Your primary responsibility will be to ensure the effective execution of projects, project coordination and completion of tasks within established deadlines and constraints. You will monitor project progress, conduct regular status meetings, and provide timely and accurate reports to senior management and stakeholders.

Key responsibility areas will include but not be limited to:

Project Management

  • Ensuring project deadlines are met and stakeholders kept informed on progress, risks and challenges.
  • Adapt project plans to changes in requirements and scope.
  • Facilitate effective communication and collaboration among team members and stakeholders.
  • Ensuring projects adhere to frameworks and all project documentation is maintained.
  • Ensuring stakeholder views are managed towards the best solution.
  • Maintaining and monitoring project plans, project schedules, budgets and expenditures.
  • Facilitate cross-functional projects.
  • Ensure that all project challenges, issues or tasks are acknowledged, addressed and/or escalated.

Reporting and Administration

  • Assist with feedback and reporting of departmental goals and objectives.
  • Organizing, attending and participating in stakeholder meetings.
  • Document and follow up on important actions and decisions from meetings.
  • Weekly/Monthly actual vs budget analysis and updates
  • Continuously assess the progress of projects.
  • Compliance/Quality and efficiency levels at which projects are executed.
  • Efficiency and effectiveness of processes, risks and/or challenges identified.
  • Communicate and report verbally and in writing to other team members and management as required.

Key Outputs:

  • Create and maintain effective project management plans and ensure deadlines are met
  • Track project progress and communicate updates to stakeholders
  • Track project and function spend against budget
  • Create and improve project SOPs for internal processes

On a daily basis:

  • Monitoring and addressing any project-related issues or concerns.
  • Collaborating with team members and stakeholders to address project needs.

On a weekly basis:

  • Weekly project status meetings with the project teams.
  • Reviewing project tasks, timelines, and resource allocations.
  • Providing updates to senior management on project progress and any significant developments.
  • Collect relevant team metrics to aid decision making and performance monitoring.

On a monthly basis

  • Monthly project performance reports, including key metrics and milestones achieved.
  • Evaluating project scope and making necessary adjustments.
  • Conducting project reviews to identify areas for improvement and lessons learned.

The successful candidate must have the following experience/skills: Work Experience and Skills:

  • 4+ Years’ experience in Project Management.
  • 2+ Years’ experience working in an IT or systems environment, including systems rollout experience.
  • Experience in project management tools such as Smartsheet, MS Projects or other.
  • Experience with agile and scrum methodologies.
  • Project costing
  • Ability to build consensus and relationships among teams, stakeholders and peers.
  • Excellent communication and presentation skills.
  • Critical Thinking
  • Ability to work effectively both independently and as part of a team.
  • Ability to work on tight deadlines.
  • Strong detailed oriented approach to task execution.

Qualifications:

  • Formal project management qualification is required.
  • A formal IT or relevant business/project management qualification is advantageous
