About The Branch Technical Co-Ordinator Position
The administrative coordination of all Branch Technical operations, particularly those pertaining to internal technical projects, Value-Added Services (VAS),
and new implementations.
The Branch Technical Co-Ordinator Responsibilities Are
- Technical Co-ordinator
- Document project activities to align with available capacity and team priorities.
- Coordinate and document all branch technical projects, including new stores, VAS, and internal initiatives.
- Liaise with clients, internal teams, and 3rd parties to ensure project milestones are met.
- Identify and manage risks, escalating issues where needed.
- Draft and maintain project plans with input from stakeholders.
- Track progress and take corrective actions to keep projects on schedule.
- Provide regular updates and manage the expectations of clients and internal teams.
- Co-ordinate 3rd party project dependencies to ensure delivery is on time and as expected.
- Monitor and manage all key success factors from unconditional to invoicing.
- Handle multiple rollouts without compromising on quality or timelines.
- Track milestones, manage resources, and coordinate go-lives efficiently.
- Financial Management
Project Cost Tracking and Reporting
- o Monitor and record all project-related costs, including services, hardware, and resource hours.
- o Ensure costs stay within budget and flag variances early for corrective action.
- o Provide financial updates to the Technical Management Team for forecasting and reporting.
Invoicing Validation
- o Ensure all project milestones are achieved before triggering billing through Branch Admin
- o Prepare and validate supporting documentation for invoicing (e.g., signoffs, delivery notes, work logs).
- o Liaise with finance to ensure accurate and timely invoicing
- Quality Management
- Ensure all project documentation is complete, accurate, and meets internal quality standards.
- Maintain proper logging and grooming of project tasks to ensure alignment with defined timelines.
- Confirm that the project scope is clearly understood and agreed upon by clients, internal teams, and third parties,
- reducing the risk of scope creep or miscommunication
- Project Governance
- Maintain a central repository of all project-related documents, including plans, approvals, change requests, and
- signoffs.
- Ensure all projects follow standardized governance processes, from initiation through to closure.
- Coordinate the preparation and submission of status reports, milestone updates, and risk logs for review by the Technical Management Team.
- Track and document all scope changes, ensuring they are approved and communicated to all stakeholders.
- Schedule and document all key project meetings, ensuring accurate minutes, action items, and follow-ups are recorded and distributed.
- Reporting
- Daily update on all active projects with impediments
- Projects where priority is required should be identified daily to Project Team Lead.
- Projects schedule to be updated daily and to always reflect the correct information.
- Delays or issues to be escalated to All Stakeholders (Div Manager; Branch Manager; Technical Manager; Client; Project Team Leader)
The Branch Technical Co-Ordinator Requirements Are
- Grade 12 certificate or Equivalent N3
- Agile Methodology experience
- 3+ years of project management experience in software or IT environments will be an advantage
- Direct experience managing retail tech implementations
- Demonstrated ability to lead cross-functional teams, including Technical Managers, Trainers & Implementation Techs
- Strong track record of on-time, in-scope delivery across multiple branches or clients
- Prior experience in customer-facing roles or managing service-related escalations is a plus
- Solid understanding of retail operations, POS systems, EFT integrations, and back-office retail processes
