Job description

Vacancy : Branch Administrator
Location : Helderkruin
Fidelity Specialized Services
A position has become vacant and will be reporting to the General Manager Specialized Services.

Purpose of the Position

The overall purpose of this position is to oversee all the Administrative, HR, and Financial responsibilities of the branch. Key responsibilities include:

  1. Ensure that all Payroll and Salary-related concerns are handled accurately and efficiently.
  2. Daily booking of Guards on Posting Sheet.
  3. Billing / Finance.
  4. Personnel Management / HR – Onboarding / Terminations etc.
  5. Fleet Management.
  6. Manage budget allocation for Transport Department / Invoices / PO Requests.
  7. Assist and support the Manager with financial actions.
  8. Manage all Branch Assets.
  9. Ensure timely submission of weekly, monthly, and quarterly reports for all sites.
  10. Serve as a key point of contact for all departments on Branch matters.
  11. Adhere to office administration duties, such as answering calls, emails, filing, etc.
  12. Implement and adhere to all Company Policies and Procedures.
  13. Manage schedules and deadlines of all administrative functions.
  14. Ensure smooth flow of information within the branch to facilitate effective operations.
  15. Oversee facilities services, maintenance activities, and tradespersons.
  16. Prepare monthly reports and assist in presenting performance and other reports to Managers and Executives.
  17. Support Managers, Senior Managers, and Executives with projects and tasks as required.
Qualifications, Experience, and Competencies
Minimum Requirements:
  • Grade 12 or Matric Certificate.
  • A tertiary qualification is an advantage.
  • 3-5 years in a similar environment.
  • Advanced Excel skills are advantageous.
  • Payroll knowledge and experience – essential.
  • Computer literacy in Microsoft Office (PowerPoint, Excel, Word, Outlook).
  • No criminal record.
  • Own reliable transport.
  • Reside within Klerksdorp or surrounding areas.

  • Strong administrative and organizational skills, with the ability to work independently and professionally.
  • Good interpersonal and communication skills.
  • Ability to liaise professionally with personnel at all levels.
  • Highly motivated and enthusiastic.

  • Proficiency in Microsoft Word, Outlook, Excel, with quick learning ability for Fidelity Security Systems.
