Job description

What you will do

The main purpose of the job is to ensure that all administration within the dealer is maintained and managed in the best way possible, with a focus on employee satisfaction, customer satisfaction, and profitability for the branch. This includes financial administration in both parts and workshop, Human Resources, risk and security, competence development, Health and Safety, and the control of general workers.

Reporting : This role reports to the Branch Manager.

Job Objectives :

To ensure dealer compliance with policies and procedures regarding all financial administration functions, including :

Credit control

  • Oversee the credit administrators.
  • Ensure compliance of suppliers where necessary.
  • Keep dealer stationary and staff refreshments up to date.
  • Oversee petty cash, ensure it is kept up to date, signed, and regularly spot-checked.

Health and Safety

  • Ensure health and safety representative executes all relevant functions pertaining to the dealer's SHERQ requirements.
  • Hold regular health and safety meetings; process minutes on share drive.
  • Ensure all health and safety training is up to date.
  • Maintain the Volvo Safety Management system in consultation with the National Safety and Risk Manager.
  • Ensure compliance with local council environmental regulations.

Security and risk

  • Assist the security risk officer with safety and risk requirements.

Cash Control

  • Oversee daily updates of the cash account and ensure all invoices are paid before parts or vehicles leave the premises.
  • Ensure administrators submit payments daily to India.
  • Ensure adherence to cash policy and procedures by all employees in parts and workshop.

Human Resources

  • Update staff personal information and submit copies to HR Business Partner.
  • Assist HR with interviews.
  • Ensure paperwork for new hires, terminations, transfers, promotions, etc., is submitted to Head Office HR.
  • Coordinate staff training and administer study loans.
  • Keep organograms up to date.
  • Coordinate questionnaires via Pulse.
  • Administer Kronos and keep paperwork updated and filed.
  • Ensure leave records are accurate.
  • Coordinate group life and disability claims with HRBP.
  • Assist in updating Policies and Procedures.
  • Manage wellness initiatives.
  • Keep competence development administration current.

Service administration (Overseeing Function)

  • Assist workshop administrators with costing and administration.
  • Monitor daily WIP controls; follow up with workshop team leaders.
  • Maintain a closure turnaround time of 72 hours.
  • Ensure at least 35 job cards are closed daily.
  • Attend WIP meetings.
  • Verify job card details (registration number, chassis number, kilometre reading, etc.).
  • Ensure job cards are completed and signed off by relevant personnel.
  • Transfer information to Fusion system.
  • Allocate job cards to correct accounts.
  • Support job costing activities.

Filing

  • File all documents according to Volvo directives and procedures.

Customer Focus

  • Ensure customers receive invoices promptly.
  • Act to meet customer needs.
