What you will do

The main purpose of the role is to be responsible for the administration function within the sub-branch, including Parts, Workshop admin, Finance, HR, and other related administrative functions.

Reporting: This position reports to the Branch Manager.

Job Objectives
Debtors
  • Record keeping and maintaining the customer database.
  • Ensuring all communications and documents are filed according to Volvo directives and procedures.
  • Follow-up on key accounts and queries.
  • Ensure timely receipt of payments.
HR
  • Communicate effectively with staff and keep them informed.
  • Record leave on the ESS system and assist with overtime and leave input on Kronos.
  • Approve overtime and print timecards.
Finance
  • Assist in generating orders for suppliers and advise the finance department of payments received.
  • Allocate receipts to cash accounts and ensure all payments are filed appropriately.
  • Balance cash reports daily with the cashier.
Aftermarket administration
  • Ensure deposit slips and schedules balance and are forwarded to Head Office daily.
  • Promptly resolve or refer queries to Head Office.
  • Send all documentation with necessary authorizations to Head Office.
  • Make payments immediately on cash sales and ensure aftermarket credits are approved by the manager.
Sales
  • Assist sales with administrative tasks, such as following up on release notes and ensuring paperwork meets Volvo standards.
Customer Focus
  • Resolve customer account queries and address customer needs and concerns proactively.

Education & Work Experience Requirements:
  • Matric or Grade 12.
  • Secretarial or Administration Qualification (advantageous).
  • At least 3 years of branch administration experience.

  • Basic numerical and calculation skills.
  • Computer literacy.
  • Strong telephone and customer service skills.
  • Self-motivated and able to work independently.
