What You Will Do

The main purpose of the job is the administration function within the sub-branch, which includes Parts, Workshop admin, Finance, HR, and other related administrative functions.

Reporting: This role reports to Branch Manager.

Job Objectives
Debtors
  • Record Keeping
  • Maintain up-to-date customer information and build a customer database
  • Keep records of all communications
  • File all documents according to Volvo directives and procedures
  • Follow up on queries from Key Accounts
  • Ensure payments are receipted promptly
  • Attend monthly debtors meetings
Human Resources
  • Handle all communication to staff
  • Keep the status of each item updated and inform relevant staff
  • Record leave on the ESS system
  • Assist with inputting overtime/leave on Kronos
  • Approve overtime and print timecards
  • Assist HRBP with ad hoc requests
Finance
  • Assist in generating orders for suppliers
  • Notify finance of payments received
  • Allocate receipts to cash accounts
  • File all payments received
  • Coordinate with cashier to balance cash reports daily
Aftermarket Administration
  • Balance deposit slips and daily schedules, forward to Head Office daily
  • Resolve queries promptly or refer to Head Office
  • Send all documentation to Head Office with necessary authorizations
  • Make payments immediately on cash sales
  • Obtain approval from Aftermarket Manager for credits
Customer Focus
  • Resolve customer account queries
  • Meet customer needs
  • Address customer concerns
