Role Overview :
This is a full-time, in-person role, reporting directly to the Managing Director.
Key Responsibilities :
- Financial Administration and Bookkeeping : Prepare and send quotes, invoices, and job cards for clients. Load and process payments. Reconcile accounts and maintain up-to-date financial records. Follow up on outstanding payments to ensure cash flow is maintained. Compile monthly financial records and documentation. Prepare reports and analytics into sales and business financials alongside the company's accountant.
- Administrative Assistance : Provide administrative assistance to coordinate digital marketing projects and tasks, ensuring organized files and documentation related to digital marketing activities. Work alongside the Deploy Brand Management team in their core roles. Act as the secondary point of contact between Deploy Brand Management and clients. Understand client needs and provide regular updates on progress, performance, and strategy recommendations. Manage bookings and schedules for the company and clients. Prepare and maintain organized files and documentation related to various projects and tasks online. Perform general filing duties to ensure records are accurately maintained and easily accessible.
- Client Interaction and Support : Collaborate with the team to brainstorm and implement creative ideas for content and client interactions. Liaise with clients on behalf of the Deploy team. Schedule and coordinate check-ins with clients.
- Team Coordination : Ensure efficient time management by coordinating team tasks. Gather necessary information to streamline the team's workflow.
- Project Management : Oversee and manage multiple ongoing projects to ensure deadlines are met and deliverables align with client expectations. Track project progress and coordinate with the team to address challenges or delays.
- Digital and Social Media Management : Manage Google profiles for all clients. Assist with designs on pre-designed Canva presentations, making changes to graphics, and setting up brands. Organize and maintain a database of client information for effective communication. Assist clients with setting up, troubleshooting, and managing their emails and hosting. Assist in the development and execution of targeted email marketing campaigns, including managing subscriber lists and analysing email performance metrics. Monitor and respond to comments, messages, and interactions on social media platforms including Facebook, Instagram, LinkedIn, YouTube, TikTok, Twitter, and Google profiles. Engage with the audience, address inquiries, and manage any negative feedback or issues.

Requirements :
- Education : University Degree or post-matric academic qualification.
- Experience : Proven experience of 5 years or more in a similar role.
- Skills : Strong organizational and multitasking abilities, proficiency in financial administration and bookkeeping. Must be competent with MS Word, Excel, Outlook, PowerPoint, and Canva.
- Technical : Familiarity with software like Quickbooks, Sage, Xero, or similar accounting tools (advantageous).
- Personal : Valid driver's license and own vehicle. Must have an active social media profile. Must live within a 15km radius from Randburg.
