Job Purpose
The Bookkeeper is responsible for maintaining accurate financial records, including purchases, sales, receipts, and payments. This role provides critical financial advice and support to clients and colleagues to enable sound business decisions, alongside assisting with the implementation of both short-term and long-term budgetary planning.
Key Result Areas & Responsibilities
1. Financial Control and Processes (35%)
- Cashbook & Postings: Complete all cashbook transactions (checking account, CFC account, credit card) correctly by the last day of the month. Ensure cashbooks and cash reconciliations are balanced and up to date. Post all journals monthly by the 5th business working day.
- Procurement & Inventory: Capture Goods Received Vouchers (GRVs) with correct values and quantities on the day of receipt or within 24 hours. Follow up and allocate or invoice all inventory not meant for stock. Ensure correct procedures are followed for procurement and delivery, filing all documentation accordingly.
- Invoicing & Banking: Verify all client invoices for complete accuracy (tax, address, name, PO numbers, values). Complete month-end routine invoices by the final day of the month. Ensure all delivered goods are accompanied by an invoice/delivery note, and file signed client delivery notes. Process cash payment bankings within 48 hours.
- Foreign Payments: Instruct the bank via email to credit the account for all foreign payments received within 24 hours of notification.
2. Credit Control and Customer Satisfaction (40%)
- Debtors Management: Perform weekly reconciliation of debtors. Send monthly statements to all debtors and conduct rigorous telephonic follow-ups to maintain a target of 80% current/30-day debt.
- COD Accounts: Ensure goods are never issued to COD customers without payment unless an approved arrangement is in place. Collect all outstanding debt for COD customers before month-end.
- Creditors & Returns: Monitor and manage all payments to creditors, ensuring accuracy and timely payment in line with terms. Process Goods Returned to Supplier (RTS) timeously and obtain supplier invoices for any applicable handling fees. Process credit notes only for authorized returned goods.
3. Financial Management, Reporting & Business Support (15%)
- Reporting: Compile and produce daily, weekly, and monthly financial reports accurately and on time, including Debtors Age Analysis, Creditors and Expenses Schedules, Sales Analysis reports, Top 10 Customers list, and Cash Receipting.
- Ad-hoc Support: Assist with ad-hoc financial and administrative requests without delay.
4. Information Management Systems (5%)
- Data Integrity: Monitor data integrity within Sage/Pastel, correcting any misrepresented information. Ensure customer information in Sage is fully complete and accurate (e.g., VAT numbers for VAT-registered clients).
- System Maintenance: Maintain accurate accounting records in Pastel for products, groupings, and pricing. Post and allocate RTS and Credit Notes (CRN) accurately and immediately.
- Document Security: Collect and securely store all original compliance documents, including import documents and bank statements.
5. Innovation and Team Collaboration (5%)
- Participate actively in team collaboration and contribute toward training colleagues.
- Identify innovative ways to optimize financial tasks.

Job Requirements
Academic Qualifications:
Professional Experience:
Minimum of 4 years of proven experience in financial management, bookkeeping, or credit control.
Working knowledge of Sage/Pastel accounting systems is highly preferred.
Key Competencies:
Strong analytical capacity with exceptional attention to detail.
Tactful communication skills for credit control and debtor follow-ups.
Ability to prioritize under pressure to meet strict monthly reporting deadlines.
