Job Description
Red Ember Recruitment is seeking to hire a Biometrics System Specialist based in Durban Central. The Biometrics System Specialist will oversee the deployment, operation, and integration of biometric attendance systems (e.g., fingerprint, facial recognition) to ensure accurate, secure, and efficient tracking of employee attendance.
The role involves managing attendance data, ensuring compliance with labor laws, integrating systems with HR and payroll software, and providing support to employees and HR teams.
This position requires a blend of HR knowledge, technical proficiency, and data management skills.
Responsibilities
- System Implementation and Maintenance: Spearhead the installation, configuration, and maintenance of biometric attendance devices (e.g., fingerprint scanners, facial recognition systems) in collaboration with HR & ICT teams and vendors. Ensure seamless integration of biometric systems with HR management software (e.g., Sage), payroll systems, and other enterprise platforms. Perform regular system updates, troubleshoot technical issues, and coordinate with vendors for repairs or upgrades.
- Attendance Data Management: Monitor and manage employee check-ins, check-outs, late arrivals, leaves, and absences using biometric data. Ensure accurate and real-time synchronization of attendance data with payroll for precise wage calculations. Generate reports to identify trends, discrepancies, or compliance issues.
- Compliance and Security: Ensure biometric systems comply with data protection regulations (e.g., GDPR, local labor laws) and maintain employee data privacy. Implement security measures to prevent unauthorized access or data breaches. Address employee privacy concerns and educate staff on secure biometric system usage.
- Employee Support and Training: Train employees and HR staff on biometric device usage and accessing attendance data via mobile apps or HR portals. Assist with biometric registration and resolve issues like failed scans or system errors. Communicate company policies regarding attendance and biometric systems.
- Payroll and HR Integration: Prepare attendance data for payroll processing, ensuring accuracy. Collaborate with HR to manage leave balances, work schedules, and resolve attendance disputes. Support HR in analyzing attendance patterns for workforce optimization.
- Reporting and Analytics: Use biometric system data to generate insights into attendance trends, productivity, and absenteeism. Customize reports for compliance audits or workforce planning.
- Vendor and Stakeholder Coordination: Liaise with vendors for procurement, maintenance, and support. Collaborate with HR, ICT, and payroll departments to align biometric systems with organizational goals.
Requirements
- Bachelor's degree in ICT, Information Technology, or related field.
- Additional certifications in HR ICT or biometric systems are a plus.
- 2–5 years of experience in HR, payroll, or workforce management, with at least 1–2 years working with biometric attendance systems.
- Proficiency in biometric technologies (fingerprint, facial recognition, iris scanning) and devices.
- Familiarity with HRMS platforms (e.g., Sage) and payroll software integration.
- Basic knowledge of database management, REST APIs, and cloud-based SaaS applications.
- Strong proficiency in MS Excel for data analysis and reporting.
- Excellent communication skills and problem-solving abilities.
- Attention to detail, patience, and empathy.
- Knowledge of labor laws, data privacy regulations, and payroll statutory requirements.
- Ability to work in a fast-paced environment and manage multiple tasks.
- Valid driver's license; traveling will be essential.
