Job description

Woolpert is looking for a Billing Specialist to join our dynamic Finance team in Johannesburg, South Africa. This position reports to the Project Financial Support Group Manager and plays a key role in ensuring timely and accurate billing project setup and contract compliance across our projects.

Responsibilities

As a Billing Specialist at Woolpert you will:

  1. Review and approve project setups ensuring contracts, project plans, work breakdown schedules, and resource allocations are in place.
  2. Prepare and issue accurate and timely project billings.
  3. Review contract invoicing and pricing terms and enter accurate billing terms in the Management Information System (MIS).
  4. Coordinate with clients to clarify invoicing requirements before the first invoice is issued and maintain ongoing contact throughout the project billing duration.
  5. Handle billing voids, write-offs, and transfers of misapplied time and expenses to correct projects.
  6. Work closely with project managers to monitor and coordinate billings and collections.
  7. Maintain project invoice contract files and subconsultant files.
  8. Assist with lien waivers and release of claims forms.
  9. Ensure the accuracy of project data in MIS records during project closeout.
  10. Assist with reviewing subconsultant contracts, invoicing, and insurance certificates.
Qualifications

Minimum Requirements:

  1. A BCom Accounting degree (or related) with 3-5 years of related experience.
  2. Ability to work US hours (14:00 - 23:00).
  3. Proficiency with Accounting Systems and various reports.
  4. Strong Microsoft Office suite skills and proficiency in Adobe products, database management software, and the Internet.
  5. Experience with tools like Dynamics 365, Salesforce, and Adobe for billing tasks is a plus.
  6. Experience with bulk invoicing is highly valued.
  7. Excellent written and oral communication skills.
  8. Ability to work collaboratively and effectively with all levels of management, clients, and employees.
  9. Strong attention to detail and excellent time management skills.
  10. Ability to handle multiple tasks and prioritize effectively.
  11. Diverse experiences working on impactful projects globally.
