Job description

The Tender and Bid Coordinator will have an eye for detail, ensuring accurate administration and analysis of client requirements. You will be responsible for introducing and coordinating the bid response process, developing and maintaining a knowledge base of ‘standard’ answers and templates, and identifying ways to improve the quality, consistency, and efficiency of the bid response process. To do this effectively, you will need to liaise with other teams and senior stakeholders to ensure submissions are made on time and to the required quality.

The Tender and Bid Coordinator will compile, prepare, and submit a winning bid, taking ownership of the end-to-end bid process. You will be significantly involved pre-RFP, driving the Client Awareness Phase and ensuring all resources are aligned to the client’s requirements well before the Bid Phase begins. After bid submission, you will remain involved through the presentation and negotiation stages, ensuring lessons learned are fed back and implemented.

Responsibilities include implementing all necessary bid procedures, governance, and processes. This is a highly networked role that requires the ability to work under pressure and meet challenging deadlines. It also requires strong people management and commercial skills.

Objectives
Main Functions of the Job
  1. Analyze and complete RFQs, RFPs, tenders, and technical surveys.
  2. Assist the Bid Manager with technical responses as required by the Sales department or clients.
  3. Engage with external stakeholders, other departments, and management levels.
  4. Coordinate with departments regarding Tender requirements and status.
  5. Maintain a bid database and bid information for internal use.
  6. Format and compile bid submission documents.
  7. Administer and maintain the pipeline on the Ozone CRM system.
  8. Assist the Bid Manager in gathering relevant information for client responses and projects.
  9. Maintain a technical database of facilities and responses.
  10. Perform account management functions as needed.
  11. Participate in bid teams, engaging with sales, marketing, product teams, finance, legal, and project management/delivery.
  12. Prepare and review the commercial aspects of bids, ensuring all products/services are included in the final price.
  13. Contribute to the written proposal in terms of content and presentation, including guidance on the executive summary.
  14. Ensure all bid process timescales and internal governance are met, setting realistic deadlines.
  15. Ensure timely submission of compliant and commercially sound bids.
  16. Coordinate and plan client presentations as part of the bid submission.
  17. Drive continuous improvement through post-bid reviews internally and with customers.
