Job description

Our Client is looking for an Assistant to join their Team in Somerset West. Please note, this is a 12-month fixed-term contract with the possibility of becoming permanent.

You will support the Senior Wealth Planner(s) in delivering the required levels of client service to clients. You will oversee the administrative, operations and client services support to the Wealth Planner(s) and be the liaison between the regional practice and head office.

Knowledge and Qualifications

Working Knowledge and Experience:

  • XPlan and Astute (essential)
  • Computer skills: SharePoint; Microsoft Office (Excel, Word, Outlook essential)
  • Xplan and Outlook integration

The Role:

  • Be the point of contact for clients, ensuring the efficient delivery of client requirements on behalf of the Wealth Planner(s).
  • Responsible for the implementation of administrative processes and controls in the Wealth Planning practices (including all transactions, queries, reporting, etc.).
  • Handle all administrative tasks related to client transfers and new business transactions.
  • Submission of intermediary appointment notes to relevant Product Providers.
  • FICA and AML capture and checking during the client onboarding process.
  • Verification of transition documentation to ensure completeness and accuracy, aligned with the relevant client file checklist and lodgement rules.
  • Arrange medicals for clients as required and follow up on outstanding requirements to ensure new business transactions are confirmed by the relevant Product Providers in a timely manner.
  • Providing ongoing service and maintenance support function to the Senior Wealth Planner and his / her clients.
  • Monitor the underwriting and acceptance of new business transactions
  • Check and confirm commission statements from CommPay and Product Providers. Escalate if any commissions or fees are due to the Financial Planning Partner.

Other:

  • Office Management: meeting room management, orders for stationery, marketing brochures, business cards, client folders, etc
  • Marketing Support: client event coordination, booking venues, RSVP management, assisting Partners at client events

Please note that this role is based in Somerset West, and is a 12-month fixed-term contract with the possibility of becoming permanent.
