About the role

As Assistant Finance and Administration Manager, you will oversee and manage the full finance and admin components of commercial and retail operations, ensuring smooth, efficient, and effective functioning.

What you will be doing

  1. Manage administrative functions according to policies and procedures, including:
    • Accruals
    • Oversee petty cash
    • Invoicing sundry debtors
    • Oversee gift card sales
  2. Financial management of the team, including:
    • Assist with budget preparation and scrutiny
    • Month-end accruals
    • Month-end reconciliations
    • Variance reporting
    • Assist with quarterly forecasting
    • Monthly financial reporting to Liberty, including the new owner reporting pack
    • Check monthly statistical information compiled by the team
    • Manage Merchants Association expenses and reporting
    • Liaise with utility companies regarding tenant queries
    • Log utility queries on MyMCS and track them
    • Assist credit control with tenant inquiries
    • Assist with audit queries
    • Conduct tenant meetings to resolve issues
    • Prepare detailed tenant rental variance reports
    • Check tenant pre-billing
    • Process adhoc journals for billing corrections
    • Assist Finance Manager with ad hoc requests
  3. Office management for retail and commercial buildings, including:
    • Telephone systems and costs
    • Office equipment
  4. Manage non-GLA income through invoicing and tracking
  5. Implement corrective actions for audit findings
