Qualifications / Requirements
- A Grade 12 certificate, a National Diploma (minimum of NQF level 6), or a Bachelor's degree (minimum of NQF level 7) in Travel, Tourism, SCM, Supply Chain Management, or Business Management;
- At least 3 years of experience in logistics, supply chain management, contract management, travel, transportation, and hotel bookings;
- Knowledge of the relevant Public Service framework on travel coordination and SCM;
- Knowledge of policy analysis and research, including analysis of practice notes on Government travel directives.
Key Performance Areas
Coordinate Travel Arrangements and Verify Payments
- Communicate with service providers on offerings and confirm bookings;
- Liaise with travel bookers to facilitate travel;
- Monitor travel needs for compliance and budget alignment;
- Advise stakeholders on travel-related issues impacting budgets;
- Verify payments against government rates as per contracts;
- Negotiate discounted rates with service providers;
- Ensure service providers' compliance with industry requirements.
Monitor Deviations in Travel Services
- Report losses due to cancellations or negligence;
- Provide spend analysis by categories;
- Report on savings, exceptions, and deviations.
Ensure Policy Compliance
- Develop and monitor adherence to travel policies;
- Verify trip authorizations and amendments;
- Monitor road travel credit card applications and distribution.
Monitor Supplier Performance
- Conduct performance reviews and site visits;
- Benchmark against industry standards;
- Recommend corrective actions for improvement.
Contract Management
- Develop and review departmental policies on contracts;
- Coordinate contract development with Legal Services;
- Maintain contract updates and stakeholder communication;
- Ensure compliance and manage contract issues;
- Generate periodic reports on contract status.
SCM Performance and Risk Management
- Identify operational risks and advise on corrective actions;
- Monitor contract variations and report irregular expenditures;
- Provide quarterly SCM performance review reports.
