Job description

An Art Department Coordinator in Films is responsible for organising and managing the art department’s logistics and operations, ensuring the visual vision of the production is achieved efficiently. They work closely with the production designer and art director, handling administrative tasks, recons and communication between different team members. Essentially, they are the glue that keeps the art department running smoothly.

Key Responsibilities

• Manage the art department office so it is efficient and all logistical and IT needs are maintained.
• Liaise with relevant office/studio departments to ensure that equipment, materials ordered, people and facilities are in place to match the schedule requirements.
• Ensure any scheduled meetings, presentations or deadlines are communicated to the entire team.
• Set Up Communication within the department, as directed by the Art Director, for example with email chains, group folders on server, WhatsApp groups and Zoom calls.
• Communicate changes to scheduled activities to all relevant art crew without delay.
• Do Art Department breakdowns and cross check with Props and Sets Department.
• Assist with research as directed by the Props Master, Set Dresser or Art Director.
• Enter and Submit all Department Petty Cash recons.
• Manage and Maintain the Art Department asset register.
• Create and Maintain an orderly filing system for the petty cash recons, and other purchase orders and quotes
• Obtain Quotes and information on request of Art Director and/ or Props Master.
• Ensure the latest production documents, including the script and shooting schedule is shared to the Art Department members, as they become available
• Contact other departments to request relevant information to be considered by the art department.
• Assist the Art Stand-by crew on the floor during scenes that require extra hands
• Coordinate ALL drop-in Graphics for Post Production.
