Job description

Our client is looking for an Architectural Office Assistant to join their team in Pretoria.

Roles and Responsibilities

  1. Provide administrative support to the design team and office managers.
  2. Organize and maintain project files, schedules, and documentation.
  3. Assist in preparing presentations, proposals, and project reports.
  4. Coordinate meetings, appointments, and client communications.
  5. Manage office supplies, equipment, and general office upkeep.
  6. Assist with basic design tasks, such as drafting and model creation (if applicable).
  7. Handle phone calls, emails, and correspondence with clients, consultants, and contractors.

What You’ll Do

  1. As the right hand to leadership and the backbone of office operations, you’ll handle a variety of administrative, HR, and event-planning responsibilities to ensure the company runs efficiently.
  2. Office Management – Keep the office organized, stocked, and running smoothly.
  3. Executive Assistance – Manage schedules, appointments, and correspondence.
  4. Administration – Handle filing, record-keeping, and general paperwork.
  5. Employment Support – Assist with recruitment coordination, onboarding, and HR-related admin.
  6. Event Planning – Organize internal company events, staff functions, and client meetings.
  7. Telephone & Front Desk – Answer calls, greet visitors, and handle general inquiries.
  8. Task Coordination – Liaise with suppliers, service providers, and team members to ensure everything stays on track.
  9. Reporting minutes and project inspection reports collation and coordination.
  10. Drafting and record keeping of contract documentation related to projects and clients.
  11. Council Liaison - coordinate and manage subcontract runners and office requirements.

Requirements

  1. Strong organizational and multitasking skills.
  2. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  3. Knowledge of architectural software (AutoCAD, Revit, SketchUp, or similar) is a plus.
  4. Excellent communication skills, both written and verbal.
  5. A proactive, friendly, and professional attitude.
  6. Attention to detail and ability to prioritize tasks efficiently.
  7. Previous office experience or exposure to architecture is preferred.
  8. Experience with Council submissions will be preferred.

Preferred Qualifications

  1. Background in architecture, design, or a related field.
  2. Experience with office management or administrative roles.
