Job description

The Arabic speaking Customer Service Representative in Johannesburg plays a pivotal role in delivering exceptional service by ensuring accurate and timely order processing for our client's national and international customers.

This dynamic position offers the opportunity to work closely with a diverse team, including customers, sales account managers (inside sales included), agents, and various internal departments such as Purchasing, Planning, Quality Control, Sales, Shipping, and Technical.

Your key responsibilities as the Arabic speaking Customer Service Representative in Johannesburg, South Africa, will include:

  1. Processing all customer orders.
  2. Handling order processing within the ERP system including verifying order details, entering orders, cross-referencing, and acknowledging orders.
  3. Addressing customer requests for order modifications, delivery updates, document inquiries, etc.
  4. Managing the central orders email address; responding to emails, forwarding messages to the appropriate departments, and ensuring proper follow-up.
  5. Handling customer complaints, including organizing replacements and returns.
  6. Coordinating with internal departments to ensure smooth operations.
  7. Issuing invoices and credit memos to customers.
  8. Uploading invoices/credit memos to customer portals.
  9. Preparing daily OTIF (On Time In Full) reports.
  10. Monitoring and tracking order recommits.
  11. Updating and maintaining the order acknowledgment tracker.
  12. Preparing and distributing daily new order summary sheets.
  13. Maintaining and updating customer preferences, print messages, and order acknowledgment email addresses.
  14. Managing delivery notes, ensuring signed delivery notes are received promptly, saved on the server, and filed appropriately.
  15. Answering incoming calls.

Requirements for this Arabic speaking Customer Service Representative job in Johannesburg, South Africa:

  • Fluency in spoken and written Arabic and English.
  • A minimum of 5 years of professional experience in Customer Service or as a Sales Assistant; experience in the food ingredients / FMCG / B2B sectors is advantageous.
  • National Senior Certificate (Matric).
  • Demonstrated ability to prioritize workload and handle multiple tasks effectively.
  • Excellent communication skills, with experience working both autonomously and as part of a team.
  • High-performing individual with a strong work ethic.
  • Proficiency in computer use.
  • Familiarity with ERP systems such as JD Edwards or Salesforce is an advantage.
  • Knowledge of export documentation and logistics is a plus.
