We are seeking a dynamic and detail-oriented Administration Manager to join our team in Sandton. The ideal candidate must have experience working within the Education industry and possess a strong ability to manage and enhance academic administrative processes.
This role will play a pivotal part in supporting the Registrar and Dean, taking responsibility for scheduling all academic qualifications for the year in advance, and ensuring the smooth coordination of academic and administrative activities across the institution.
Academic Scheduling & Course Profile Management
- Maintain and manage the Course Profile for all Retail classes.
- Coordinate and implement updates from Corporate Education teams (South Africa, India, Nigeria, Kenya), Digital teams, Events, and Exams departments.
- Schedule all qualifications for the academic year ahead; ensure accurate capturing in MS Word, RMS, and the Course Profile system.
- Distribute finalised Course Profiles to all stakeholders at least three months in advance.
Class Link Creation & Technical Support
- Create and manage Teams class links for Retail and Corporate Education classes.
- Post class links to the student and facilitator portal.
- Manage access rights and provide live technical support during virtual sessions.
Orientation Coordination
- Develop orientation session links and agendas.
- Provide live support to ensure seamless execution of orientation events.
Stakeholder Communication
- Send class reminders and session details to facilitators in advance.
- Follow up with stakeholders to ensure timely Course Profile completion.
- Organise and facilitate facilitator allocation meetings.
System & Developer Liaison
- Collaborate with RMS developers, report system issues, and ensure feedback is communicated from the South African team.
- Facilitate meetings with developers and stakeholders to ensure system alignment.
General Administrative & Ad Hoc Duties
- Provide administrative assistance to the Registrar, Dean, and Chief Academic Officer.
- Coordinate procurement and printing of certificate papers for graduations and certifications.
- Assist with graduation ceremonies and special programmes, such as HerPotential, when required.
Requirements:
- Minimum of 5 years’ experience in academic administration, preferably in the Education sector.
- Strong organisational, scheduling, and stakeholder communication skills.
- Proficiency in MS Office Suite, especially MS Word and Excel.
- Familiarity with RMS or similar academic systems will be advantageous.
- Experience coordinating virtual events or live sessions via platforms such as Microsoft Teams.
- Ability to work under pressure and manage multiple responsibilities.
