A vacancy exists at Steyn City School for Admissions Clerk, effective 1 August 2025 or as soon as possible thereafter. The successful candidate will be an experienced professional who will assist the Senior Events and Admissions Officer with the entire admissions lifecycle, scholarships, and marketing of Steyn City School.

Admissions Clerk

Responsibilities Include:

  • Assistance with the entire admissions lifecycle
  • Assistance with the entire scholarship lifecycle
  • Information service to prospective parents on admissions, fees, co-curricular activities, curriculum, and any other related matters
  • Responding to every admissions enquiry within 24 hours
  • Capturing and maintenance of new applications via the database (ADAM)
  • Management of the waiting list as per the admissions policy and the needs of the school, paying careful attention to the weighting of each application
  • Scheduling marketing tours of the campus with prospective families
  • Assistance with the ongoing correspondence with prospective parents until the admissions process had been finalized (for example, letters of acknowledgment, letters of offer, welcome pack information, invitations to events, and the like)
  • Liaison with the Senior Admissions & Events Officer on applications, interviews, scholarships, offers, waiting lists, and the like
  • Liaison with the Finance Department on relevant payments to finalize each admission
  • Informing the relevant Head of School to contact fellow ISASA schools about new admissions
  • The collation of information and welcome packs for all new families
  • Student file creation both manually and electronically, co-ordination of house allocation, and ensuring student files are updated and completed before being handed over to the Finance Department and relevant school
  • Active student database maintenance in liaison with the Deputy of Administration and Student Affairs
  • Assist the Senior Admissions & Events Officer where appropriate and required
  • Assist the Advancement Team with relevant events, including attendance at open days, information evenings, welcome functions, scholarship assessments, and other related events throughout the year
  • Have a clear understanding of the student recruitment process
  • Have appropriate management and administrative experience, be proactive, and be able to conduct self with tact and diplomacy, as well as manage multiple tasks/projects simultaneously
  • Have the ability to work under pressure
  • Have a clear understanding of the strategic and critical relationship between admissions and marketing, as well as have an enthusiastic and welcoming approach to marketing the school
  • Be a highly effective communicator (verbally and written)
  • Be a self-motivated individual interested in working in a highly competitive environment
  • Be an individual who has integrity and exhibits empathy for young people, while understanding the values of the School
  • Have sound computer skills, particularly in MS Word, MS Excel, and MS Forms
  • Sound knowledge of student database base systems (Knowledge of ADAM would be advantageous)
  • Previous school experience in a similar position is advantageous
  • Have the ability to work independently as well as part of a team
  • Be willing to work within the values, ethos, and mission of the School as well as participate in the broader life of the school
  • Proof of sexual offender’s clearance certificate is required. Any staff member working within a school is required to have a sexual offender’s clearance certificate

  • Tertiary qualification or equivalent
  • At least two years of experience (ideally with admissions experience in an educational institution)
  • Have the ability to work under pressure and with a sense of urgency
  • Have a high attention to detail and be a highly effective communicator (verbally and written)
  • Excellent customer service skills with a keen understanding of the strategic importance of the relationship between admissions and marketing
